Learn how to Manage the meeting rooms booked for Events

Spaces are the function rooms or meeting areas in which Events take place. You can assign size, capacity limit and even a default Menu Item.

Space availability can be viewed by Users on the Event Diary Calendar.

If a Space needs to be blocked, due to maintenance, cleaning, or other non-event-related reasons you can temporarily close it.


Space Details

When managing your Spaces, you can add the following information;

Space Name: This should match how you label the Event space at your Organization

Description: A description of the Space and any relevant information regarding it

Calendar Color: These colours will be used to differentiate Spaces on the Event Diary & Calendar visually

Capacity: Set the maximum guest capacity for the Space

Area: Enter the square footage or metres (depending on your Organization preference) of the Space.

In addition to this, we have several advanced features to further customize your Spaces:

Shareable Space: This flag gives the ability to overbook the space by more than one Event at the same time, regardless of the organization-wide Space Conflict setting.

Blocked Spaces: If you have Spaces that connect, use this feature to ensure any associated Spaces are blocked. This feature is explained in depth here.

Menu Item: If you have a default price you charge for the Space, select the relevant Menu Item, otherwise leave this blank

πŸ‘‹ If a Space has Blocked Spaces, or is part of a Blocked Space, it cannot be sharable.


Add Spaces

  1. Click Settings

  2. Click Organization

  3. Click Spaces

To add a new Space Click +New Space


Edit a Space

  1. Click Settings

  2. Click Organization

  3. Click Spaces

  4. Click the Edit icon to change a Space

  5. Make the changes

  6. Click Save


Sort Spaces

  1. Click Settings

  2. Click Organization

  3. Click Spaces

  4. Click & drag the icon to re-order or sort Spaces


Archive a Space

  1. Click Settings

  2. Click Organization

  3. Click Spaces

  4. Click the Archive button


Delete a Space

  1. Click Settings

  2. Click Organization

  3. Click Spaces

  4. Click the trash icon to delete a Space.

  5. You will be asked to confirm your request prior to the Space being deleted.

πŸ‘‹ You will not be able to delete a Space if it has Events Booked. You will need to move the Events to another Space or Archive the Space instead.


Important Considerations

To see all Spaces, including Spaces that have been archived click the "Show Archived" toggle button.

When adding attendees, a warning appears if the space is over capacity, but users can still book the space.
