Event Temple’s BCC & Forwarding functionality lets you send or forward emails directly into your Event Temple account — keeping all guest communication tracked, centralized, and organized under the correct Contact and Booking.

Each user has a unique, system-generated BCC email address that cannot be changed and is not connected to your actual email account.

⚠️ Important: Before using either option, confirm your Pipeline and Stage are correctly configured. This determines where new inquiries or bookings will be created.


⚙️ Configure Your BCC & Forwarding Settings

  1. Click Settings

  2. Go to Personal Settings → Email

  3. Under BCC & Forwarding, click Edit

  4. Choose the relevant Pipeline and Stage

  5. Click Save

💡 Tip: Set your default Pipeline and Stage to match where new leads or inquiries should appear. This helps prevent misfiled bookings.

⚠️ Important: Each BCC address is unique per user. If you accidentally use a colleague’s address, your emails will not appear in your account.


✉️ Using BCC

Use BCC when sending an email to a Contact from your own email client and you’d like the message logged in Event Temple automatically.

Steps:

  1. Go to Settings → Personal Settings → Email → BCC & Forwarding

  2. Copy your BCC email address

  3. Add this address in the BCC field of your outgoing email

  4. Send your message

✅ The email will appear under the Contact’s most recent Booking in Event Temple.

⚠️ Important: If no Booking exists for that Contact, Event Temple will automatically create one in your selected Pipeline and Stage.

💡 Best Practice: Use BCC only for guest-facing messages that need to be tracked. Avoid including it on internal or personal emails to keep your system organized.


📤 Using Forwarding

Use Forwarding to add existing email threads into Event Temple — ideal when a guest emails you first or when you’d like to reply from within Event Temple.

You can forward emails in two ways:


Option 1 — Manually Specify the Contact

  1. Copy your BCC & Forwarding email address from Settings

  2. Open the email you wish to forward

  3. Click Forward and add your BCC & Forwarding address to the To field

  4. In the body, remove your signature and add:

    #Contact { John Doe <jdoe@example.com> }
  5. Send the email

✅ The email will attach directly to that Contact and either link to their most recent Booking or create a new one.

⚠️ Important: Always remove any text or signature above the forwarded message. Event Temple reads only the body of the forwarded content — anything above it will cause the message to fail.

💡 Troubleshooting Tip: If the email doesn’t appear, check that your signature was fully removed and the #Contact line was formatted correctly.


Option 2 — Use the First Email Found in the Body

If the forwarded message already contains the guest’s email address:

  1. Copy your BCC & Forwarding address

  2. Forward the email to that address

  3. Remove any signature or text above the forwarded body

  4. Send the email

💡 Tip: This is the quickest option when forwarding a conversation that already includes the guest’s address.

⚠️ Important: Forwarded emails won’t process correctly if your signature or extra text appears above the email thread. Double-check before sending.

🔧 Troubleshooting Tip: If the email doesn’t show up in Event Temple, resend it after removing formatting, images, or large attachments — these can sometimes interfere with processing.


🧩 How Event Temple Processes Your Emails

When an email is received through BCC or Forwarding:

  • If the email matches an existing Contact, it’s linked to their latest Booking.

  • If no Booking exists, a new one is created in the Pipeline and Stage selected in your settings.

  • The communication appears in the Activity Feed of the related Booking.

⚠️ Important: Event Temple cannot process emails forwarded from mailing lists, shared inboxes, or those without a clear sender address.

💡 Best Practice: Forward individual client emails rather than chains with multiple unrelated recipients. This ensures correct linking and faster processing.


🧭 Troubleshooting Checklist

If your BCC or Forwarding emails aren’t showing up:

  • ✅ Verify you’re using the correct BCC address from your own account

  • ⚙️ Confirm your Pipeline and Stage settings

  • 🧾 Ensure the recipient’s email matches a Contact in Event Temple

  • ✂️ Remove any text, images, or signatures above the forwarded body

  • 📎 If forwarding, keep attachments under 10MB

  • 🕒 Wait a few minutes — longer email chains may take extra time to appear

  • ⚙️ Use Refresh Button in the Mail Tab
