Learn how to use the GRC (Group Room Control) calendar to track group room blocks, pickup, room nights, revenue, ADR, and availability. Review daily pickup trends, compare blocked vs. picked-up rooms, monitor group pace, and use filters and exports for re

The GRC displays your group room activity in an easy-to-read calendar view, allowing you to quickly review room inventory and performance across your selected occupancy dates.

For each booking, you can view:

  • Name (Booking or Event Name)

  • Status (Lead, Tentative, or Definite)

  • Booking Type

  • Arrival Date

  • Release Date

  • Daily room metrics

  • Total Room Nights

  • Revenue

  • Average Daily Rate (ADR)

Choose up to two daily room metrics to display at a time from:

  • Blocked

  • Pickup

  • Contracted

  • Net

The calendar only displays values on dates where room activity exists, making it easier to review room blocks and pickup trends.


Available Filters

Use the filters at the top of the page to customize the information displayed.

Occupancy Date Range

Select the period you want to review using the date picker, or quickly jump to common ranges:

  • 2 Weeks

  • 3 Weeks

  • 1 Month

  • 6 Weeks

Room and Revenue Source

Choose which room data to display:

  • Blocked Rooms

  • Pickup Rooms

  • Both

Group Status

Filter groups by status:

  • Lead

  • Tentative

  • Definite


GRC Columns

Under the GRC columns, you can customize what information appears:

  • Release Date - Shows the date when unbooked rooms should be released.

  • Market Segment – Displays the market segment linked to each account.

  • Booking Type - Displays the type of booking.

  • Metrics - Shows the top + bottom metrics for each room.

  • Nights – Displays total room nights.

  • Revenue – Adds the total revenue column.

  • Average Daily Rate (ADR) – Adds ADR figures.

Select or clear options to adjust the information displayed in real time.


Viewing the GRC Calendar

Groups are displayed in arrival date order, making it easy to review upcoming business and room activity.

For each booking, you can quickly view:

  • Booking Name

  • Booking Type

  • Arrival Date

  • Release Date

  • Daily room metrics

  • Total Nights

  • Revenue

  • ADR

You can also:

  • Expand bookings to view additional details

  • Open a booking directly from the GRC for editing

  • View totals by group status


Viewing Daily Room Activity

The GRC displays room activity by occupancy date so you can monitor group performance throughout the selected period.

Display up to two daily metrics at the same time:

  • Blocked

  • Pickup

  • Contracted

  • Net

Comparing these metrics can help you:

  • Monitor pickup against blocked inventory

  • Track contracted room performance

  • Identify occupancy trends

  • Prepare forecasting and revenue reports


Monitoring Pickup Health

Enable Highlight Pickup Health to quickly identify groups with lower-than-expected pickup.

When enabled, groups with pickup below the configured threshold compared to blocked rooms are highlighted, helping you identify bookings that may require follow-up.

Note: Pickup Health is always calculated using Pickup compared to Blocked Rooms, regardless of which daily metrics are currently displayed.


Viewing Blocked and Pickup Rooms by Date

The GRC table and calendar can display Blocked and Pickup Rooms broken down by occupancy date, allowing you to review room night activity across a selected period.

Use the filters at the top of the page to adjust your view:

  • Occupancy Date Range – Select the period you want to analyze.

  • Room and Revenue Source – Display Blocked Rooms, Pickup Rooms, or both.

  • Group Status – Filter groups by Lead, Tentative, or Definite status.

When viewing longer date ranges, Group Name and Arrival Date remain visible while scrolling, making it easier to track activity across multiple dates.

This view is useful for:

  • Comparing blocked rooms against actual pickup

  • Reviewing group pace trends

  • Identifying changes in occupancy patterns

  • Preparing revenue and forecasting reports


Checking PMS Room Availability

If you're integrated with a PMS, you can view live room availability directly from the GRC without creating a Booking or Group.

The Live PMS Availability row displays:

  • Availability by room type

  • Inventory for the selected occupancy dates

  • Oversold days, when applicable

This is especially useful when discussing availability with prospective clients before creating a booking.

Availability details may vary depending on your PMS integration.


Daily ADR

See the average value of group rooms committed on each date, and not not the number of rooms blocked. This helps you evaluate the revenue quality of group business, identify lower-rated blocks, and make more informed pricing and inventory decisions.


Exporting GRC Data

To share or analyze GRC data externally:

  1. Click the Printer View icon in the top right corner.

  2. Choose your preferred export format (print, save as PDF)

  3. The exported file will include the visible GRC data based on your selected filters and settings.


Tips for Best Use

  • Use the quick date ranges to review upcoming occupancy periods.

  • Compare Blocked and Pickup metrics to monitor room pickup performance.

  • Compare Contracted and Net metrics when analyzing contracted inventory.

  • Enable Pickup Health to quickly identify groups that may require attention.

  • Review the Live PMS Availability row before committing room inventory.

  • Include Revenue and ADR when preparing financial reports.

  • Export filtered data for revenue meetings and forecasting.
