Contracted Rooms allow you to track the number of rooms originally committed for a room block, even if the number of rooms later changes.
Contracted Rooms are useful for tracking:
The number of rooms originally contracted
Contracted room revenue
Changes between contracted, blocked, and picked-up rooms
Adding Contracted Rooms to a Room Block
Contracted Rooms can be enabled when creating a new Room Block.
To add Contracted Rooms:
Create or open a Room Block within a booking.
Enable the Contracted Rooms option.
Enter the number of contracted rooms for each room type.
Save your changes.
Once added, Contracted Rooms can be viewed in reporting alongside Blocked and Pickup Rooms.
Viewing Contracted Rooms in Reports
Room Block reports can include:
Count of Contracted Rooms
Contracted Revenue
Blocked Rooms
Pickup Rooms
These fields help teams compare the original commitment against actual room pickup.
Editing Contracted Rooms
To update Contracted Rooms:
Navigate to Bookings from the main navigation menu.
Open the booking containing the Room Block.
Scroll to the Room Block section.
Click Edit next to the Room Block name.
Locate the Contracted column.
Update the contracted room quantities for each room type.
Click Save.
The updated contracted room totals and revenue will automatically update in the booking’s Revenue Summary.
Updating Blocked or Pickup Rooms
You can also update Blocked and Pickup Rooms from the Room Block editor.
Open the Room Block editor.
Locate the room table displaying:
Room Type
Rate
Contracted
Blocked
Pickup
Update the required values.
Click Save.
The Pickup column reflects the number of rooms that have been reserved.
If needed, refresh the Summary section to update totals such as:
Room Nights
ADR
Room Revenue
Tip: If you need to update multiple room types or dates, you can make all changes during the same edit session before saving.
Important Considerations
If your property is PMS-integrated, changes to Blocked or Pickup Rooms may automatically sync depending on your PMS configuration.
PMS integrations may have different workflows for managing room blocks, so refer to your specific integration documentation when needed.
