An optional step to utilize our email integration

Each Event Temple user has their own system-generated Event Temple email address connected. This email allows you to send emails directly from Event Temple. If a customer responds, it will send it to the email address you log into Event Temple with, but it will not sync to Event Temple.

For users on the Pro Plan and above, we have an email integration that allows users to connect to a third-party email address such as Gmail, Office365, Exchange & independent email providers. The email integration allows you to send/receive email in Event Temple via your email address.

Important! The email address you use to log in is not related to the email address you link to send emails. They do not need to match. For info on how to edit login credentials click here.

How to Connect Your Email

  1. Select Settings from the Menu

  2. Select Personal settings

  3. Select Email

  4. Select Disconnect (to disconnect you from the Event Temple email)

  5. Select My own email provider

  6. Enter your email address

  7. Click Authorize

  8. Sign in using your email Credentials

Note: For Exchange or Independent email providers, You will also need your SMTP and IMAP information from your IT team to connect your email.

Sync Behaviour

The sync behaviour for the integration is:

  • Emails sent from Event Temple will appear in your sent items in your email provider

    • Replies to these emails will sync to Event Temple & your email provider

  • Emails sent from your email provider to an ET Contact will not sync

    • Replies to these emails will not sync to Event Temple

  • New emails sent from a Contact to you will not sync to Event Temple

  • If you send an email from ET from within a Booking, and the guest replies, it will sync to that Booking as well as the Contact.

  • If you send an email from elsewhere in ET (i.e not associated to a Booking) and the guest replies, it will not link to a Booking but it will link to the appropriate Contact.

Set up your Email Signature

  1. Select Settings from the Menu

  2. Select Personal settings

  3. Select Email

  4. Select Email Signature

  5. Enter your Signature details

  6. Save

BCC and Forwarding

The BCC & Forwarding functionality allows you to send an email, while simultaneously adding it to Event Temple for proper tracking, or to forward it into Event Temple. For more information on this feature, click here!

The email will get logged under the most recent Booking associated with the email address associated with the email. If no Booking exists, it will create a new one. The new Booking will be assigned to the Stage selected.

Other Settings

Daily Email Limit - this is how many emails Event Temple can send from the system, per user, per day. We automatically set these limits based on the rules of the email provider you choose.

Track Email Opens - This can also result in spam, so use this feature carefully. If left checked, Event Temple can track when your customers have “read” your emails. This feature isn’t allowed to be used in Europe due to GDPR regulations. If you are a European customer, please leave this unchecked.

Important Considerations

If your organization has a security setup that needs to approve apps, follow the steps here.

We recommend only one user integrate to one email address. Having more than one person integrated to the same email can cause unforeseen email linking issues.

Syncing Emails

Currently, we initiate an email sync with the following triggers:

  • Going to a Contact Summary page that has an email thread

  • Going to a Booking Summary page that has an email

  • Going to the Mail heading in the left-hand sidebar (no need to click refresh)

Visiting the emails tab only syncs your own emails. Visiting a Contact or Booking Summary page syncs any inbox that has an email thread linked to that Contact or Booking.

Any of the above actions will send a trigger to fresh your emails once in a 15-minute period. If you visit those pages multiple times in a 15-minute period we don’t sync multiple times. The sync runs in the background so to see the immediate sync results you will need to navigate away and visit back to the tab.

Please note that regardless of which email provider you integrate with, emails are only stored in Event Temple for two years. After this, they will be permanently removed from our system.
