Calendars

Learn about Event Temple calendars: Booking Calendar, Event Diary, Task Calendar, GRC, and how to assign custom colours to Spaces for clear, organized views.

Calendars help visualize your Bookings, Events, Room Blocks & Tasks. Event Temple provides:

  • Booking Calendar: View Bookings, Events, Room Blocks

  • Event Diary: Track events in Spaces

  • GRC: Manage Groups Room Control

  • Task Calendar: Track tasks by status and assignee


Booking Calendar

Booking Calendar displays all your Bookings and/or Events and/or Room Blocks. You can choose the view based on statuses or other filters in a month view, week view or day view. Furthermore you can Link it to a third-party calendar if enabled on your Organization.

Access the Booking Calendar

  1. Navigate to Calendars, In the left-hand sidebar, select Calendars.

  2. Select Booking Calendar from the menu.

  3. Review default view: By default, you will see a monthly view displaying Room Blocks, Events, and Bookings across all statuses, both archived and active ones.

  4. Adjust the view and filters as needed.

Calendar filters

You have the option to filter based on the below criteria:

  1. Pipeline - Choose a specific pipeline

  2. Assignee - View Bookings/Events/Room Blocks based on who is it assigned to. You will see here all users, including the inactive users too

  3. Archived - See only archived or only unarchived or both. By default both archived and unarchived will be visible.

  4. Space - See your organization's spaces. If you are part of a chain only the specific organization's spaces will be listed.

If you click on the Booking, Event or Room Block a side panel will pop up with the details - this will give you access to:

  • Booking Summary access link

  • Booking's Contact access link

  • Booking's Account access link

  • Room Block & Events information of the specific the Booking

- just simply click and start adding the details.


Navigating the Calendar to Find Specific Dates

The Booking Calendar will by default give you a monthly view. You can adjust this to a week view or day view. Navigate easily in between these options. Be mindful of the filters that you might have applied previously.

The Event Diary works a bit differently. Here, your default view is a weekly view. Choose to view your events per month or day or even a 40 day timeframe. Scroll through the page with the help of the scroll bar on top or at the bottom.

This will be your place where you can view / add / edit your Space Closures.


Calendar Filters

Booking Calendar Filters

  • Pipeline - Choose a specific pipeline

  • Assignee - View Bookings/Events/Room Blocks based on who is it assigned to. You will see here all your users, including the archived ones to

  • Archived - See only archived or only unarchived or both. By default both archived and unarchived will be visible.

  • Space - See your organization's spaces. If you are part of a chain only the specific organization's spaces will be listed where you.

Event Diary Filters

  • Users - This is basically the same as Assignee, who the event is assigned to.

  • Show Excluded spaces - this checkbox will help you easily see spaces that are blocked by an other space. See more about Blocked Spaces.

Task Calendar Filters

Various filters are available for example who is it assigned to, or wether the task is completed or not, task type and much more.

Managing Space Closures

Admin users can manage Space Closures in two ways:

  • From Settings: Go to Settings → Offerings → Spaces, then select the Closures tab to see all your upcoming and past closures.

  • From Event Diary: Navigate directly to the Event Diary page to create, edit, or delete space closures as needed.

Important Considerations

Print View

Choose to print your view in the various calendars. Clicking the print icon now opens your browser's print dialog directly, instead of downloading a PDF first. From there you can send it straight to your printer or save it as a PDF.

  1. Check your filters and view for what you would like to see

  2. Click the print icon in the top right corner

  3. Your browser's print dialog opens - choose your printer, or select "Save as PDF" to store it digitally

  4. Adjust the pages if necessary in your print settings

Note: This applies to the Booking Calendar and Event Diary. Previously the print icon instantly downloaded a PDF that you then had to open and print. The print icon now opens your browser's print console, so you can choose to print straight to paper or save it as a digital PDF.

Task Calendar colors

Colors of each task will give away the following

Green - Completed

Blue - Task due date is in the future and incomplete

Yellow - Task due today

Red - Task overdue

Troubleshooting Visibility Issues in the Calendar

If you cannot locate the closure or specific date:

  1. Try navigating further: Use the arrow navigation buttons to explore subsequent pages.

  2. Check the filters: Ensure that the correct filter settings are applied and that they include the date in question.

  3. Seek assistance: If the issue persists, contact support to verify if the closure exists and can be accessed or removed.

  4. Adjust settings (by Admin user only): In your Organizational General Settings at the Calendar section adjust the number of entries that are visible.
