Learn about the Calendar

Event Temple offers four different calendars to be able to track:

  • Bookings

  • Events

  • Groups

  • Tasks


Calendar

Displays:

  • Groups, Events, and/or Bookings

  • Booking Status: Definite, Tentative, and/or Lead

This calendar can be Linked to third-party calendar if enabled on your Organization.

To Access Calendar (General)

  1. Select Calendars in the left-hand sidebar

  2. Select Calendar

  3. Select the information you will like to see

    1. Bookings

    2. Events

    3. Groups

    4. A combination of those

  4. Select the booking status

    1. Definite

    2. Tentative

    3. Lead

    4. A combination of those

  5. Apply Filters, change dates or change the show by option

  • Clicking on a date will allow you to add a new booking

  • Clicking on a booking, event or group will give you access to:

    • Booking access link

    • Booking's contact access link

    • Booking's account access link

    • Group information for the booking

    • Event information for the booking

Navigating the Calendar to Find Specific Dates

The Booking Calendar automatically sorts events and closures chronologically, from the furthest to the nearest date. To locate a specific date:

  1. Scroll through the pages: At the bottom of the calendar, use the arrow navigation buttons ('>') to move between pages. Continue scrolling until you find the desired date.

  2. Verify the event or closure: Once the date is located, review the associated closure or event for accuracy.

Using Filters to Narrow Your Search

For a more efficient search, you can apply a date filter. This allows you to pinpoint specific dates without manually scrolling through the entire calendar.

  1. Open the date filter option in your Booking Calendar.

  2. Select a relative (e.g., last week, next month) or absolute date (e.g., a specific day).

  3. Navigate through the results using the arrow buttons if multiple entries match your filter.

Managing Closures Once Found

After locating the desired date with a closure:

  1. Edit a closure: Use the designated edit icon next to the closure to update its details.

  2. Delete a closure: Use the delete icon to remove the closure if necessary.


Important Considerations

Calendar and Event Diary

In the Booking or Event Summary, click the arrow to edit the Booking, send Documents, generate Invoices, and more.

Calendar (General), Event Diary and Task Calendar

These calendars have the option to Export to PDF & print.

Event Diary

  • View by Day, Week, Month, or 40 Day Period

  • Show excluded Spaces, when using Sub-Spaces.

Task Calendar

The calendar shows all your completed tasks as green and your incomplete tasks as red.

Group Room Control

Information can be exported to HTML or PDF

Troubleshooting Visibility Issues in the Calendar

If you cannot locate the closure or specific date:

  1. Try navigating further: Use the arrow navigation buttons to explore subsequent pages.

  2. Check the filters: Ensure that the correct filter settings are applied and that they include the date in question.

  3. Seek assistance: If the issue persists, contact support to verify if the closure exists and can be accessed or removed.
