Can I Change the Number of People on a Package in an Event?

Keeping your attendee numbers up to date ensures your reports, packages, and Banquet Event Orders (BEOs) stay accurate. Follow these steps to update the Expected and Guaranteed attendee counts in Event Temple.

Steps to Edit Attendance

  1. Open the Booking

    • From the left-hand menu, go to Bookings.

    • Select the booking that contains the package you want to edit.

  2. Go to the Packages Tab

    • Within the booking, click the Packages tab to view all packages linked to that booking.

  3. Edit the Package

    • Click the arrow at the end of the package line.

    • Select Edit.

  4. Edit Attendance

    • In the edit window, click Edit Attendance near the top.

    • Update the Expected and Guaranteed numbers as needed.

    • Once done, click Save.


What the Numbers Mean

  • Expected: The anticipated number of guests. Use this for forecasting and operational planning.

  • Guaranteed: The confirmed number of guests. This number is typically used for final billing and revenue calculations.


Additional Notes

  • Updating these numbers will automatically adjust the package totals

  • You can return to edit attendance at any time before the event.

  • If your package includes multiple events, the updated attendance will apply across those linked events unless edited individually.
