Can I Send an Automated Response and Set a Timer?

Event Temple lets you automate follow-ups using Workflow Templates, not through direct “timed” autoresponders.

What Are Workflows in Event Temple?

Workflows allow you to automate communication and internal tasks based on your bookings — such as automatically sending emails or creating tasks before or after specific booking dates.

You can use them to handle confirmations, reminders, or post-event follow-ups automatically.


⚙️ How to Create or Edit a Workflow

  1. Go to Settings → Workflow Templates.

  2. Click Add Workflow Template (or open an existing one).

  3. Enter your Workflow Name.

  4. Under Workflow Actions, click New Action.


✉️ Send an Automated Email

To send an automatic email (for example, a reminder or invoice notice):

  1. Choose Action Type: Send Email.

  2. Select your Email Template (e.g., Invoice or Thank You).

  3. Choose when it should send:

    • Before booking start date (e.g., 7 days before, 14 days before)

    • After booking start date

    • Before or after booking end date

    • After previous step complete

    • After workflow starts

Each action is day and multiple email actions can be added to the same workflow.


✅ Create an Automated Task

You can also automate internal reminders or follow-up tasks.

  1. Choose Action Type: Create Task.

  2. Name the task and assign a Task Type (e.g., Follow-Up, Reminder, Call).

  3. Set when the task should be created:

    • After workflow starts

    • Before or after booking start date

    • Before or after booking end date

    • After previous step complete

  4. Optionally, set reminders and due dates relative to the creation time.


⏰ Timers and Triggers

Workflows run automatically based on the booking start or end date — not on form submission or creation time.
You can add multiple actions with different offsets (e.g., “send 14 days before” and “send 7 days before”) to create a timed sequence.


🔐 Requirements

Only users with admin or chain admin permissions can create or edit workflows.

📅 How to Schedule an Email in Event Temple

You can compose an email directly from a booking and choose to send it immediately or schedule it for a specific date and time.


✉️ Steps to Schedule an Email

  1. Open the Booking you want to send an email from.

  2. Click the Emails tab.

  3. Select New Email.

  4. Fill in your details:

    • From: your connected email address (set up under Settings → Personal Settings → Email).

    • To: your contact(s).

    • Optionally add CC or BCC.

    • Choose an Email Template (optional).

    • Enter a Subject and your message body.

  5. Click the Send Later button.

  6. Choose the date and time in the Schedule Send pop-up.

  7. Click Schedule to confirm.

Your email will now appear as scheduled, and Event Temple will send it automatically at the specified time.


⚠️ Requirements & Notes

  • You must have an email provider connected under Settings → Personal Settings → Email (Gmail, Outlook, etc.) for scheduling to work.

  • Scheduled emails are managed per user — only the person who scheduled it can edit or cancel it.

  • The time zone follows your organization’s settings.
