Send Automated Emails for Event Temple Bookings via Zapier

Zapier lets you automatically send emails based on activity in Event Temple. This is useful for notifying guests, internal teams, or both when something changes in a booking.

A Zap consists of:

  • A trigger (what starts the automation)

  • An action (what happens next)

Important note: If you only need simple guest email automation, Event Temple Workflows may be a better option since they run natively inside the system.


Step 1: Choose your trigger

Common Event Temple triggers include:

  • A new booking is created

  • A booking is moved to a specific stage

  • A booking is updated

Example: Trigger a Zap when a booking moves into the “New Lead” stage.


Step 2: Set up your email action

Choose an email provider such as:

  • Gmail

  • Outlook

  • Microsoft Exchange

Then configure your action to send an email.

You can send emails to:

  • The primary contact on the booking

  • Internal team members

  • Both guests and internal recipients

You can also:

  • Add CC or BCC recipients (e.g. front desk team)

  • Attach files (menus, proposals, floorplans)

  • Organize emails using labels or folders (depending on provider)


Step 3: Customize your email

Use Event Temple fields to personalize your message:

Common fields include:

  • Contact name

  • Booking name

  • Event dates

  • Booking stage

  • Revenue or package details

These can be inserted into:

  • Subject line

  • Email body
