Why Aren’t Sent Emails Showing in Event Temple?

Learn why sent emails may not appear in Event Temple, how email sync works with third-party providers, and steps to troubleshoot and resolve syncing or sending issues for accurate email tracking.

If you joined Event Temple before February 2024, you may have selected only emails initiated from Event Temple within your email settings.

This means any emails sent directly from your email account, rather than Event Temple, will not sync automatically.

If you update your email settings, any future emails sent from your email provider will sync in Event Temple.


Types of Email Connections

Event Temple supports two types of email connections:

  1. Default Event Temple Email

    • Emails sent using Event Temple’s platform when no third-party email provider is connected.

    • Replies typically go directly to your inbox and may not sync back into Event Temple.

  2. Third-Party Email Provider

    • If you connect your personal or work email (e.g., Gmail, Outlook), replies to emails sent from Event Temple will sync automatically.

    • Emails you send directly from your email provider may not link back to the platform.


How Sync Settings Work

  • Only emails initiated from Event Temple

    • Replies to emails sent from Event Temple will sync

    • Emails sent directly from your email provider will not sync

  • All emails from contacts in Event Temple

    • Emails associated with a contact will sync if they are the sender or primary recipient

    • Emails where the contact is cc’ed will not sync

    • Emails sent directly from your email provider to a contact will sync if the contact exists in Event Temple

Note on Shared Emails:
If multiple users connect the same email address, only the first connected user will see replies synced. Using shared email accounts may result in missing or incorrectly mapped emails.


Common Reasons for Sync Issues

  • New Email Threads: Replies that start a new thread may fail to sync.

  • Shared Email Accounts: Conversation threads may not map to the original email.

  • Contact Not Added in Event Temple: Only emails with a saved contact will sync.

  • Using Event Temple’s Default Email: Replies to default Event Temple emails may not sync; connecting a third-party provider can resolve this.

Best Practices to Avoid Syncing Issues

  • Keep replies within the same email thread to avoid creating new conversations.

  • Limit testing with shared email accounts to reduce misalignment of threads.

  • Confirm replies are part of the original thread when working with external providers.

  • Reconnect your email provider if issues persist.


Troubleshooting Email Sync Issues

  1. Check Your Email Settings:

    • Go to Settings Personal Settings Email

  2. Disconnect and Reconnect Your Email:

    • Select the option to disconnect your email

    • Reconnect using a third-party provider (e.g., Gmail, Outlook)

    • Authorize your credentials to ensure replies sync correctly


How to Troubleshoot Email-Sending Errors

Common Causes

  • Temporary connectivity glitches

  • Timeout errors (e.g., Nylas SDK)

  • Invalid email addresses

  • Daily sending limits

  • Security or spam filters

  • Using IMAP/SMTP instead of OAuth

Steps to Resolve

  1. Disconnect and reconnect your email account

  2. Identify failed emails by checking the red error symbol in the booking email list

  3. Review the Mail page to locate errors and navigate threads

  4. Switch to OAuth authentication if using IMAP/SMTP, as it provides a more stable connection

  5. Test the connection by sending a test email from Event Temple
