Sync Setting
This feature is only available for users who joined Event Temple prior to February 2024.
Once connected, users have the ability to choose which emails they'd like synced into Event Temple:
Only emails initiated from Event Temple -
Replies to emails sent from Event Temple will sync
Emails sent from your email provider will not sync
Replies to emails sent from your email provider will not sync
All emails from contacts in Event Temple
Emails associated with an Event Temple Contact will sync if they are the sender or a recipient in the 'to' field only. If a Contact is cc'ed, the email will not sync.
Emails sent directly from your email provider to an ET Contact will sync to ET.
Reminder: When reconnecting your email, ensure that your email address is not being used by other Event Temple users. Sharing one email address across multiple users may cause syncing issues, as only the first connected account will receive replies.
Managing Shared Email Addresses
Risks of Multiple Users Sharing an Email Address
Syncing Issues: When multiple users integrate the same email address into a platform, the system may fail to recognize the ownership of the email. This can lead to improper email syncing, such as undelivered replies or duplicated messages.
Contact List Conflicts: If the email address is linked to entries in the Contact list, it can cause errors, complicating email synchronization processes. This applies even if the email is shared among users.
Best Practices for Managing Shared Email Setups
Use Unique Email Addresses per User: The simplest and most effective way to avoid syncing issues is to ensure every user connects a unique email address to their account. This eliminates confusion in email distribution and tracking.
Leverage a Managed Shared Email Service: For scenarios requiring shared email access, consider setting up a shared email account handled through your email provider. Some providers offer features that allow multiple users to access a shared mailbox while maintaining clear workflows.
Implement Email Forwarding Rules: Another solution is internal forwarding. Configure your email provider to forward messages from a shared address to individual user accounts. This retains a single point of contact for emails while distributing incoming messages effectively.
Troubleshooting Syncing Issues
Check Contact Lists for Conflicting Entries:
Ensure the shared email address or other users' email addresses are not saved within the Contact list. This might resolve repetitive errors caused by Contact-based conflicts.
Make necessary adjustments by removing or editing conflicting entries.
Review Integration Settings:
Go to the platform's integration or settings area.
Confirm that each user is linked to a unique email address unless a shared setup is explicitly configured.
Consult with Your Email Provider:
For shared email setups, contact your email provider to optimize the configuration and apply best practices for multi-user access. By following these guidelines and proactively managing email setups, you can avoid syncing errors and ensure efficient collaboration when working with shared email addresses.
