Managing and Displaying Floor Plans in Event Temple

Manage and share floor plans in Event Temple via Files, Custom Fields, Documents, or Emails. For interactive seating charts and self-service client portals, see our EventFlow integration partner.

Event Temple doesn’t include a built-in floor plan designer, but you can attach, display, or share floor plans in several ways:

Upload to Files

  • Go to your Settings → Files tab → Upload A File

  • Supported formats: PDF, PNG, JPG.

  • Your team can view or download files anytime.

Use an Event Custom Field

  • Go to Settings → Custom Fields → Add Custom Field

  • Choose File Upload (attach directly) or URL (link to an external file).

  • Appears in each event for quick access.

Display Floor Plans in Documents

  • Go to Settings → Document Templates → Edit template or open an existing document (e.g., Banquet Event Order, Proposal, Group Resume).

  • Drag the Image element to where you want the floor plan.

  • Double-click or click the edit icon → select Uploaded File → choose your floor plan image (JPG, PNG, etc.).

  • Adjust padding, width, and alignment → click Apply → Save.

💡 Optional: Pre-select floor plans for events by uploading multiple images and using the Image element to display the correct one, or create separate document templates with different floor plans pre-inserted.

Attach to Email Templates

  • Go to Settings → Email Templates → Attach File

  • Floor plans will be automatically included in emails to clients or vendors.

Tips:

  • Use clear file names like “Ballroom Setup – Banquet Rounds.pdf” to stay organized.

  • Floor plans uploaded to Files or Custom Fields can be referenced in Documents or Emails for consistency.
