This article will help you understand how to create Document Templates to use for proposals, BEOs & more.

Using pre-built Document Templates elevates productivity and efficiency. Building templates will also allow your team to focus more on the content and save time on formatting.

These templates use a merge functionality to pull in fields from across Event Temple and populate various portions of the Document.

Our recommendation is to build templates for the Documents you will normally use in your Bookings. The building process might take some time but it will improve your team's daily productivity.

On these templates, we encourage you to add as many Merge Fields as possible so that all the information needed in the Document can be pulled in from the Booking & other components of Event Temple. This allows the Document to be automatically updated. Users will only need to review and send.

Document Permissions

Document Templates have two levels

  1. "Organization" - Visible across the organization.

  2. "Chain" - Visible across all organizations in the chain (only applicable for those with multiple Organizations connected)

There are various permission levels that control who can view and edit them. They are:

  • Regular users can create and clone a document template. But they can only edit and delete templates that they own. Ownership is based on whoever created or cloned a template.

  • Organization admins can create, edit, and delete document templates for their organization

  • Chain admins can create, edit, and delete chain-level document templates

  • Chain admins can change the organization of a document template or make it chain-level.

Event Temple Standard Templates

This section will provide your company with a list of sample document templates provided by Event Temple. You will be able to copy, use and customize any of these documents.

How to use a Standard Template

  1. Select Settings

  2. Select Templates & Files

  3. Select Document Templates

  4. At the top of the page, click Event Temple Standard Templates

  5. Hover over the Document Template you want to use and Click the Preview Eye Icon

  6. If you wish to use this Document Template, click the Copy and Use button at the top of the preview

How to Edit a Document Template

Document Templates can only be edited by an Admin User, or the owner of the Document Template.

  1. Select Settings

  2. Select Templates & Files

  3. Select Document Template

  4. Under Organization Templates, find the Template you wish to edit in the list

  5. Click the Edit icon on the right-hand side

  6. Make the changes you wish

  7. When complete, click Save at the top-right

How to Clone a Document Template

  1. Select Settings

  2. Select Templates & Files

  3. Select Document Template

  4. Under Organization Templates, find the Template you wish to copy in the list

  5. Click the Clone Icon
    ​

  6. Add a Name for your New Template

  7. Click Clone

  8. You'll be brought to the Document Template Edit page for the new Document Template

  9. Make any required changes

  10. Save

Important Considerations about Document Templates

  • Creating Templates must be done within Event Temple's Document creator. At this point in time, there is no way to import templates from previous systems into Event Temple and will need to be recreated using our Document Template tool.

  • It is possible to upload Documents, such as word docs or PDFs within Event Temple to attach to Email Templates, however, these cannot be used as Document Templates.

  • You can drag and drop documents in order to rearrange the list of Templates to suit your specific business. For example, you can place your most frequently used Document Templates at the top, or you can group related templates together.

  • Tip: Pasting Text into your Document Template will format it automatically. To Paste without formatting, use Shift + Command + V for Mac and Alt+Shift+V for Windows.

  • Tip: Building the Template in small sections can be useful to ensure editing is quick and easy.

  • Documents have a Document Type, which can be used for reporting & batch printing by filtering the applicable Document Type (Eg BEO).

  • Chains can share Document Templates across all Organizations, with the goal being to ensure that all users have clean, professional, and appropriately branded documents. These should not be modified unless it is to suit a Chain-wide need.

  • Chain admins have the ability to clone a Chain-wide Document Template to customize it for their specific property if needed.
