Adding a Room Block

This article will help you understand how to manage Room Blocks.

By default, a Booking’s Status also applies to its Room Block Status. However, you can update the Room Block Status independently. If the two statuses differ, you’ll receive a warning notification.


Create a Room Block

  1. Open the newly created or an existing booking

    • Go to the Bookings tab in the left menu.

    • Click on the booking where you want to add the room block.

  2. Locate the “Room Block” section

    • Scroll down the booking details until you see the Room Block header.

    • Click “Add Room Block.”

  3. Fill in the room block details (as shown in your screenshot):

    • Name: Enter a descriptive name (e.g., Sales Conference Room Block).

    • Status: Choose from Lead, Tentative, Definite, etc.

    • Arrival Date / Departure Date: Use the calendar icons to select dates.

    • Release Date: (Optional) Add a date when unbooked rooms should be released.

    • Code: Enter a code if applicable (for tracking or special rates).

    • Net Factor: Adjust if you need to apply a rate percentage (default is 100%).

  4. Add Rooms and Rates

    • Click “+ Add Rooms and Rates.”

    • Select the room types, number of rooms, rates, and availability for each night.

  5. Add Additional Information (optional)

    • Expand Other Fields to include reservation method, parking policy, or notes.

  6. Save

    • Once all details are entered, click Save (or Shift Dates if you want to apply date changes).

After saving, the room block will appear under the booking’s “Room Block” section, where you can edit, delete, or monitor pickup and revenue.

ℹ️ If your Organization is integrated with a PMS, the Room Block view may differ. Refer to the relevant PMS integration article for details.

Important Consideration:
You can only add one Group Block per Booking. If you need multiple Blocks, create separate Bookings.


Batch Adding Rooms and Rates:

  1. Go to the Room Block Section

    • Scroll down to the Room Block area.

    • Click Edit next to the room block you want to modify.

  2. Open the Batch Update Tool

    • Find the room type (e.g., Standard King).

    • Click copy icon

  3. Select Dates to Update

    • Check the boxes next to all the dates you want to apply the change to.

    • You can select multiple dates at once.

  4. Enter the New Blocked Amount

    • In the Blocked amount field, type the new number of rooms you want to block (for example, 10).

  5. Save

    • Click Save (blue button).

    • The system will automatically apply this blocked amount to all selected dates.

  6. Verify Updates

    • Back on the main Room Block table, confirm that the Blocked numbers reflect your update across all dates.


Integration Notes

Event Temple integrates with several PMS systems to help manage groups. For more information, see the PMS Integrations page.

Important Consideration:

  • Group Code and Release Date fields are primarily used for PMS integrations, but they can also be used internally and included as merge fields on documents.

  • PMS-integrated organizations may see slight differences in Room Block workflows.
