Volume Rates and Room Pickup Tracking for Key Accounts

Track production against your negotiated rates for your Key Accounts

A volume rate, or sometimes called local negotiated rate (LNR), is a discounted rate that a hotel offers a company in exchange for the company agreeing to pick up a certain number of rooms over a certain date range.   

With our Volume Rate feature, a hotel can manage its volume rates for individual Accounts and track room pickups against those rates.


Volume Rate

If you have the Key Account feature active on your Organization, you can follow these steps to add volume rates to an Account:

Create a new Account or update an existing Account and mark it as a Key Account by checking the Is Key Account checkbox in the edit Account view.

Marking an Account as a 'Key Account' will add a new tab under that Accounts detail view page called Key Account Tracking. 

Under the Key Account Tracking tab, create volume rates for different date ranges by clicking the Add Volume Rate button. For example here we have added a volume rate  for the date range July 1, 2019 to Aug 31, 2019 for a total room nights of 100 with an average rate of $200 / night. 


Room Pickup

Track pickups for an individual Account by clicking the Add New Pickup button. Adding the pickups will automatically update the 'Rooms Actual' and 'Rate Actual' fields for the volume rate that overlaps with the pickup date.

Important Considerations

You can filter Accounts in the Account list view by applying the Key Account filter in the list view.

If there are a large number of Accounts to keep track of, entering room pickups for each individual Account can be cumbersome. Instead of adding pickups one by one for each individual Account, you can also use the Room Pickups grid under Settings to enter room pickups for all your Key Accounts on a daily or monthly basis.

Volume Rates cannot be added into Documents at this time.
