Packages

Learn how to create, manage, and apply Packages to Bookings, including adding Events and Menu Items, editing Packages, and making them available through the Booking Engine.


Packages allow you to pre-build a combination of Events and/or Menu Items that can be quickly added to a Booking. Instead of building each Booking from scratch, your team can apply a pre-configured Package to save time and keep your offerings, structure, and pricing consistent.

When you add a Package to a Booking, you can schedule its Events to start on any chosen day, giving you the flexibility to adapt the Package to each event’s specific needs.

Packages are applied to Bookings, rather than individual Events. If you want an Event to be included in a Package, add it to the Package during setup. Once the Package is applied, you can customize its Events and Menu Items as needed. Any changes made to the Booking will not affect the original Package, so your pre-configured template remains unchanged and ready to use again.


Creating a New Package

  1. Go to Settings > Offerings > Packages

  2. Select + New Package Button at the top of the page

  3. Enter the Name & Description

  4. Click Save to add Events & Menu Items

  5. Ensure that individual menu items are created before building a Package, as Packages are built by bundling these predefined items.

If you're not ready to add Events & Menu Items, click Save & Close.

Adding an Event To a Package

1. Select the + Add Event button.

2. Enter the Event details, including start time, type, and space.

3. Click Save. You can then add Menu Items specific to this Event.

Please note that Menu Items must be linked to an Event within the Package and cannot be added independently.

When there are multiple Events in the Package, they are sorted by Event Start Time.

Only the Event Name and Start Time are required when creating an Event. These, along with any other Event details, can be updated when the Package is added to a Booking.

You can also assign a Space to an Event when creating the Package. The Space and any other Event details can be updated as needed once the Package is added to a Booking.

Adding a Menu Item to an Event

  1. Select + Add Menu Item Button

  2. Search & Select the Menu Item

  3. Choose Override Price to set a package-specific price (for example, you can use this feature to offer a discount, making the Package price lower than the total cost of its individual items)

  4. Select the quantity behaviour. Menu Items can be based on per person, or a flat amount. When adding Flat Amount Menu Items, you can also specify a quantity.

  5. Select Save.

Repeat these steps as needed to add additional Menu Items to the Event. You can also drag and drop Menu Items to arrange them in your preferred order. This order will be preserved when the Package is added to a Booking.

Important: Menu Items must be associated with a specific Event in the Package.


Modify or Archive a Package

Modify a Package

To update an existing Package:

  1. Select the Edit icon on the Package you want to modify.

  2. Make the relevant updates.

  3. Select Save & Close.

Changes made to a Package apply to future uses only. Any Bookings where the Package has already been used will not be affected.

Archive a Package

Archiving allows you to keep your active Package list organized while preserving historical Packages.

  1. From the Packages tab, select Archive on the Package you want to archive.

  2. To view archived Packages, select Show Archived in the top-right corner.

  3. To restore a Package, open the archived Packages and select Unarchive.

Why archive a Package? Archiving is a great way to keep your active Package list organized without permanently deleting Packages you may want to reference later.


Add a Package to a Booking

Once you've created your Packages, you can quickly add them to any Booking as needed.

  1. Navigate to the Packages tab on your Booking page.

  2. Click + New Package.

  3. Select the Package you want to add from the dropdown menu.

  4. Enter the Expected and Guaranteed number of guests.

  5. Review the Package Events and make any necessary adjustments, such as updating event times or other details.

  6. Batch Update (Optional): Use the batch update icon next to the Space, Start Date, or End Date fields to apply changes to all Events at once.

  7. Click Create.

Once added, the Package Events will appear on the Details page under Events, and the Line Items tab will display all Menu Items included in the Package.

Adding Multiple Packages

You can add multiple Packages to the same Booking, including both single-day and multi-day Packages.

For multi-day Packages, each day is displayed as a separate Package row, making it easy to review and manage the Events included on each day.


Edit a Package on a Booking

Once a Package has been added to a Booking, you can customize it to fit the specific needs of that Booking. You can update details such as guest counts, dates, descriptions, line items, and individual Events without affecting the original Package.

Edit a Package

  1. Select the More arrow at the end of the Package row, then click Edit to open the Package Editor.

  2. Update Package Details: Select the pencil icon to edit details such as the Package name, description, dates, guest counts, or line items.

  3. Edit Package Events: To update an individual Event, select Edit next to the Event to open the Event Editor.

Review Package Revenue

The Summary section provides a breakdown of the Package's revenue by type, including any applicable taxes.

Packages in the Booking Engine

If your organization has the Booking Engine enabled, you can make Packages available for customers to view and select directly from your website.

This allows customers to choose from your pre-configured offerings when submitting a booking request, while your team can manage those requests using the Events, Menu Items, and pricing already defined in the Package.

Example: Setting Up a Meeting Day Package

Below is an example of how to structure a Meeting Day Package in Event Temple. Setting up each activity as its own Event helps keep your Package organized and ensures your team has a clear view of what is included, when it takes place, and where it will happen.

1. Add a Package Description

Start by adding a clear Package Description. This can be used to group the included items together on your documents while providing customers with a clear overview of what the Package includes.

2. Add an Event for Each Activity

Create a separate Event for each activity included in the Package. This is an important step because your function sheets are built around Events.

By creating an Event for each activity, your team can easily see when it takes place, where it will happen, and what the customer will be consuming during that Event.

3. Add Menu Items to Each Event

Once you've created your Events, add the relevant Menu Items to each one. These should represent the products or services the customer will consume during that specific activity.

For example, you might have a Morning Meeting Event with coffee and pastries, followed by a Lunch Event with a buffet Menu Item.
