The AI Sales Coordinator is an AI-powered assistant built directly into Event Temple to help your sales team manage incoming group and event inquiries.
It works in the background to read incoming inquiries, extract important booking details, create bookings, and flag messages that need human attention. This helps your team spend less time on data entry and inquiry management, and more time building relationships and closing business.
How does the AI Sales Coordinator work?
The AI Sales Coordinator works through three key steps:
1. Inquiries arrive in the Event Temple Inbox
Your inquiries can come from multiple sources, including:
Forwarded sales emails
Intake Forms
Booking Engine bookings
These inquiries are brought into one Inbox, so your team can manage incoming demand from a single location rather than relying on individual mailboxes.
2. AI reads and extracts the booking details
The AI Sales Coordinator reads the inquiry and identifies the key information included in the message.
Depending on what is provided, this can include:
Contact information
Company
Arrival and departure dates
Guest count
Room block details
Event type
Notes and other relevant information
The extracted information is displayed alongside the original inquiry, allowing your team to quickly review what the planner is looking for without manually entering the details.
3. A booking is created in Event Temple
When the AI has the information it needs, it can automatically create a booking in Event Temple.
The booking can include the relevant room block and event information and will be placed in your pipeline as a New Inquiry, ready for your sales team to work.
This means that when your team starts their day, inquiries that arrived overnight can already be organized and ready to quote.
Inquiry Classification and Triage
Not every message that arrives in your inbox is a new inquiry.
The AI Sales Coordinator can help distinguish between different types of messages, including:
New RFPs and inquiries
Questions
Cancellations
Changes to existing bookings
Messages that affect an existing booking or require a human decision are flagged for your team so they know where their attention is needed.
This helps prevent important updates, such as cancellations or booking changes, from getting lost among new inquiries.
