Using the Inbox to Manage Incoming Leads

The Inbox is your central hub for incoming event leads from forwarded emails and intake forms. When you forward an inquiry email to your organization's unique Event Temple address, our AI extracts the key details and creates a new inbox item automatically

How It Works

  1. Receive an inquiry — A sales lead or RFP lands in your email inbox, or a guest submits your intake form.

  2. Forward the email — Forward it to your organization's unique Event Temple forwarding address.

  3. Inbox item is created — Event Temple automatically creates a new item, extracting details like contact name, company, phone, email, and event dates.

Quick Actions from the Banner

The blue banner at the top of the Inbox gives you one-click access to the tools you'll use most:

  • Copy forwarding address — Copies your organization's unique forwarding email to your clipboard.

  • Email Forwarding — Jumps to your forwarding settings.

  • Intake Forms — Opens your intake form setup.

Setting Up Email Forwarding

  1. Go to Settings → Channels → Email Forwarding.

  2. Copy your organization's forwarding email address (e.g., inbox-xxxxxxxx@mail.eventtemplemail.com). You can also copy it directly from the banner at the top of the Inbox page.

  3. In your email client, forward any inbound inquiry to that address.

Configure default settings

Under the Settings section on the Email Forwarding page you can set:

  • Assignee — The team member automatically assigned to items created via email forwarding.

  • Pipeline Stage — The default stage new bookings will be placed in.

Click Edit to update these at any time.

Setting Up Intake Forms

Go to Settings → Channels → Intake Forms to build and manage the forms you embed on your website. Submissions appear in the Inbox automatically.

Viewing Your Inbox

All incoming leads appear in Inbox (left navigation). Each item shows:

Filtering the list

Use the controls at the top of the Inbox to narrow what you see:

  • Source — Filter by how the lead arrived (Email, Intake Form).

  • Status — Filter by processing status.

  • Add Filter — Combine additional filters to find exactly what you're looking for.

Notifications, Needs Action, and Unread Items

The Inbox uses two tabs and a set of notification indicators so you can see, at a glance, what needs your attention.

Tabs

  • Needs Action — Items that require a manual response or decision (for example, a Question the AI couldn't resolve on its own).

  • All — Every item, regardless of status.

Notification indicators

  • Needs Action badge (left navigation): When one or more items need action, a number appears next to Inbox in the left navigation. Clicking it takes you straight to the Needs Action tab.

  • Unread dot on the "All" tab: If any items are unread, an orange dot appears next to All. When you're on that tab, a Mark as read button also appears so you can clear all unread items in one click.

  • Left-navigation dot (unread only): If there are no items needing action but some are still unread, the Inbox entry in the left navigation shows an orange dot instead of a number. Clicking it opens the All tab.

What the AI Extracts

When a lead is processed, Event Temple's AI attempts to extract:

  • Contact details — Name, email address, phone number, and company

  • Booking details — Start date and end date (where present)

  • AI Summary — A plain-language summary of the inquiry

  • Intent — Classified as New RFP, Update, Question, Cancellation, or Noise

Each item shows a Confidence score indicating how reliably the details were extracted. If confidence is low, review the extracted details before proceeding.

Taking Action on a Lead

Open any item to see the full details. Depending on the intent:

  • New RFP — Click Accept & Create Booking to create a booking pre-filled with the extracted details, or Ignore to dismiss it. When confidence is high a booking may be created automatically — you'll see it linked directly from the item.

  • Question — The item opens with a note: "This inquiry contains a question that requires a manual response." Reply to the sender directly from your email, then click Mark as handled.

  • Update / Cancellation — Take the relevant action on the booking, then click Mark as handled.

  • Noise — Click Ignore.

You can also Mark as Unread to flag an item for follow-up later.

AI Credits

The Inbox uses AI credits to process each item. You can monitor your usage under Settings → Subscription. If credits run out, items are marked Needs Action and skip processing until credits are available again.

Tips

  • Double-forwarded emails work — If an email was forwarded to you before you forwarded it to Event Temple, the system handles the chain and extracts the original sender's details.

  • Failed items — If an item fails to process, review the original email for formatting issues or missing information.

  • Multi-property users — If you manage multiple properties, an Organization column shows which property each lead came from. Email forwarding is configured per property, not at the chain level.
