Cloudbeds: Legacy Groups vs. Groups & Events - What's Different

Event Temple supports both the original Cloudbeds Groups module and the new Groups & Events module. This article explains the differences between the two and helps you understand what changes when you switch.


How the original Groups module worked

In the original Cloudbeds Groups module, the integration was straightforward but limited:

  • An Account in Event Temple synced as a Group in Cloudbeds

  • A Room Block in Event Temple synced as an Allotment Block in Cloudbeds

  • There was no concept of contacts — no contact information synced to Cloudbeds

  • Each group had essentially one associated reservation, making it difficult to manage repeat business or multiple events for the same group


What's new in Groups & Events

The new module introduces a richer structure with more data syncing across both platforms:

The key improvements are:

  • Contacts now sync. All contacts on an Account, including the primary contact, push to Cloudbeds as Contact Persons on the Profile.

  • Bookings sync as Events. Each booking becomes an Event in Cloudbeds, nested under the Profile, giving you a cleaner view of all activity for a given account.

  • Better account visibility. Profiles in Cloudbeds can show all events for that account over time, making repeat business easier to manage.


How to switch from Legacy Groups to Groups & Events

Switching is controlled by a toggle in your Event Temple integration settings:

  1. Go to Integrations → PMS → Cloudbeds → Edit

  2. Find Use Cloudbeds Groups & Events Mode and switch it to Yes

  3. Save your settings

Once enabled, all new bookings you sync will go to the new module.

Before switching: Confirm with your Cloudbeds representative that your property has been enabled on the Groups & Events module in Cloudbeds. The toggle in Event Temple should only be turned on once that is confirmed.


What happens to existing synced bookings

Bookings that were previously synced using the legacy Groups module will continue to display their existing Cloudbeds data. Event Temple will still pull in up-to-date pickup information for those bookings.

If you want to move an older booking into the new module, you have the option to resync it. This will create a proper Profile and Event in Cloudbeds with the correct naming and contact information. This is optional — you don't need to resync old bookings, and it's most useful for bookings that are still active and in progress.
