Booking Engine: Set Up Guide For Your Organization

This article walks you through how to set up your Booking Engine at an Organization level.

Booking Engine settings are organized into two main areas: Chain and Organization settings.

An Organization is an individual property or venue within a Chain.

It represents the operational level where day-to-day Booking Engine settings are managed.



Organization Settings:

To access your Organization settings, click the dropdown menu in the top-right corner and select the organization you'd like to access. From there, navigate to Settings → Channels → Booking Engine.



Status: Control whether guests can access your booking system.
If you do not enable this it will close the Booking Engine options for your Organization.

Organization Info: This sets the name of your Organization.

Opening Hours: Set the days guests can book and define the hours your spaces are available.

Advance Booking Window: This setting controls how far in advance guests can make a booking. If set to 0 days, there is no booking limit and guests can select any available date.

Spaces: This is where your bookable spaces are displayed. Click the Edit icon on the right-hand side to configure details and add images.

  • Hourly Rate: Set an hourly rate to be displayed for this space.

  • Show on Booking Engine: Enable or disable visibility of this space on the Booking Engine.

  • Allow Instant Booking: Allow guests to book this space immediately when it is available. When enabled, no approval is required from the organization.

  • Image: To enhance the appearance of your Booking Engine, we strongly recommend adding an image for each space.

Instant Book: This enables guests to instantly book a space. If you’re using our Stripe integration, you can also collect payment at the time of booking.

Images: Similar to Space images, we recommend adding Organization images here. They appear at the top of your Organization’s booking page and help enhance its overall look and feel.

Terms and Policies: Do you have a link where these are hosted? Paste the URL here so your guests can easily access and view them.

Embed Code: The link provided here can be used to embed the Booking Engine on your website.

Hosted URL: The link provided here can be shared with your guests, allowing them to browse your spaces and view your availability.

Submission Settings: Submission settings control several key actions that occur after a Booking Engine submission has been received.

  • Pipeline Stage: Select the stage you'd like the submission to default to (ie. New Inquiry, Qualifying, etc)

  • Assignee: This controls who will be assigned to the booking

  • Email Notification: Add email addresses here so notifications about new booking inquiries are sent to the appropriate team members

  • Customize the message displayed to clients on the confirmation page and in the confirmation email
