Contact System Rules & Guidelines

Essential system rules and guidelines for managing Contacts in Event Temple, including email uniqueness requirements, account-wide contact visibility and privacy, and best practices for emailing team members without adding internal users.

Understanding the core system guardrails for managing Contacts ensures seamless email tracking and proper visibility across Event Temple.

Contact Uniqueness & Email Requirements

Event Temple uses email addresses as unique identifiers across the platform.

  • Each Contact in your organization must have a distinct, unique email address.

  • Multiple Contacts cannot share the same email address, as the system relies on this key to assign incoming emails, sync messages, and track document activity accurately.

Contact Visibility & Privacy

All Contacts created in Event Temple are accessible organization-wide.

  • Contact records are visible to all active users on your account.

  • Individual Contacts cannot be set as private, and visibility cannot be restricted to specific users or user roles.

Handling Internal Team Members

Adding internal Event Temple Users as Contacts is not recommended, as it can disrupt email sync behaviour and thread tracking.

When you need to include a colleague on client communications:

  • CC inside Event Temple: Enter their email address directly into the CC field on the email composer and press Enter.

  • Email directly from your provider: Send an email from your standard inbox (Note: The initial email must be sent from Event Temple to establish and track the thread).
