The Guest Portal in Event Temple is a secure, personalized online hub that gives your guests a seamless experience. Guests can view and pay invoices, review proposals, sign documents, and stay informed about their event details—without repeated logins. Each booking generates a unique, secure URL to simplify communication from start to finish.

  • Guest Portal links are automatically generated per booking—no manual setup required.

  • Enable the feature in settings to get started.

Secure, Password-Free Access

  • Only contacts associated with a booking can access the portal.

  • Guests verify their identity via email and remain signed in for 30 days.

Invoices & Payments

  • Guests can view and pay invoices directly through the portal.

  • Full payment history is available for reference.

Document Sharing & Signing

  • Guests can view proposals and sign contracts and other documents online.

  • Any proposals that have been sent—regardless of status (Sent, Accepted, Rejected, or Expired)—are automatically visible in the Guest Portal.

  • Due dates and document statuses (Pending, Signed, Completed) update in real time.


Guest Portal Settings

The Guest Portal page lets your team manage and customize what guests see.

1. Portal Access

  • Enable or disable Guest Portal access at the top of the page.

  • When enabled, your team can share portal links with clients for real-time event details.

  • Includes a link to official documentation for more in-depth guidance.

2. Links Section

Manage external links that appear in the Guest Portal for each booking.

Editable fields:

You can add, edit, or delete links at any time.

3. Visibility Control

Document Type

Choose which Document Types to display on the Guest Portal.

  • Exclude certain Document Types from appearing in the Guest Portal.

  • Great for when you want to hide internal documents.

  • By default, all non-archived document types are selected.

Hidden Event Types

  • Exclude certain event types from appearing in the Guest Portal timeline (e.g., Hold, Flip).

  • Hidden events still appear in revenue reports.

4. Images Section

Customize the visual experience of the Guest Portal.

Features include:

  • Upload additional images using Add More

  • Preview image thumbnails

  • Delete unwanted images

Recommended image ratios:

  • 1 image: Panoramic (3:1)

  • Multiple images: First image standard (16:9), remaining images square (1:1)


Guest Portal Setup for Guests

Guests can access the Guest Portal in three ways:

  • Email Templates: Insert merge fields for the Guest Portal URL.

  • Manual Sharing: Copy the direct portal link from the booking.

  • Documents: Include the portal link in proposals or invoices.


Privacy Rules

  • Only contacts listed on the booking can access the portal.

  • Guests verify access using a one-hour magic link.

  • Verified guests stay logged in for 30 days.

  • Event Temple users skip authentication when logged in.


Guest Portal Sections

Invoices

  • View, download, and pay invoices.

  • Past payments appear after payment is completed.

Documents

  • View proposals and contracts.

  • Track document status and sign online.

  • Sent proposals of any status (Sent, Accepted, Rejected, or Expired) are visible in the portal.

Guestrooms

  • View blocked guestroom numbers and rates.

Events

  • View scheduled events, menu items, packages, amounts, and prices.

  • Hidden event types remain invisible to guests.

  • Packages are initially displayed as a single line item and include a “Details” button. When expanded, customers can view the list of items included in the package.
