Step 1: Open the Booking Graphs Report
From the left-hand sidebar, click Reports.
Select Booking Graphs.
You’ll see a chart that shows booking data across spaces, users, or sources.
Step 2: Apply Filters
Use the Filters section at the top of the page.
Set your desired date range — for example:
Definite Date = This Month, or
Definite Date = Custom Range (choose your own dates).
(Optional) Apply additional filters to refine results:
Pipeline: Choose Main Pipeline or another one if applicable.
Status: Focus on Definite bookings for confirmed space usage.
User or Source: Filter by sales manager or lead source if you want occupancy by team or channel.
Step 3: View by Space
At the top of the report, select By Space.
The graph will display each space name on the left (e.g., Glacier Hall AB, Rocky Ridge Room, Summit Suite).
The horizontal bars represent the total revenue, deal value, or count of bookings in each space for your chosen timeframe.
Step 4: Adjust the Measurement
In the top-right of the graph, choose what you’d like to measure:
Count → Shows how many bookings occurred per space (best for occupancy frequency).
Deal Value → Shows total contracted value per space.
Revenue → Shows confirmed revenue generated by each space.
💡 Tip: Selecting Count gives you a clearer picture of which rooms are booked most often, while Revenue highlights which spaces bring in the most income.
Step 5: Export or Save
Click Export (📤) to download your occupancy data as a CSV file.
Or click Save View (💾) to keep this setup for future reference — for example, “Monthly Space Occupancy Report.”
Example Use Cases
Operations: Identify which spaces are used most often for staffing and setup planning.
Sales Managers: Track underutilized spaces and create targeted promotions.
Revenue Teams: Compare space performance month-over-month to guide pricing strategies.
✅ Tip:
If you want a more detailed breakdown by event type or time of day, use the Events Report instead — you can filter by Space and Date to calculate daily or hourly occupancy.
