Sales and Operations Assignees on Bookings

Bookings now have two assignee roles: Sales and Operations. Learn what each role does, where they appear, and how they affect workflows, the Event Diary, and reports.

Bookings in Event Temple now support two assignee roles instead of one. This lets the person who sells the booking and the person who services it each be recorded on the booking, so tasks, calendars, and reports reflect who is actually responsible for what.


Why this changed

Previously every booking had a single Assignee. In practice, sales sells the booking and operations delivers it. With one field, changing the assignee at handover meant the operations user appeared on sales reports, and sales had to reassign the booking to keep their reporting accurate.

Splitting the field means both people can be recorded at the same time, and reporting stays accurate through the handover.


The two roles

Role

Typically used for

Sales

The team member who qualifies, quotes, and closes the booking. This is the existing Assignee field, renamed.

Operations

The team member who services and delivers the booking once it is confirmed. This is a new field.

Note: Your existing Assignee values are not changed. The field is simply relabelled to Sales, and Operations starts empty until you fill it in.


Where you will see it

Booking header - both the Sales and Operations assignee are shown on the booking.


Pipeline booking cards - the Operations assignee's initials appear alongside the Sales assignee's.


Event Diary - you can filter the diary by either the Sales or the Operations assignee.

Workflow templates - workflow steps can be pointed at a booking role rather than always going to a single assignee.

Reports - reports that previously filtered or displayed Assignee now refer to Sales Assignee, and add Operations Assignee as a separate field.


Workflows

In a Workflow Template, each task step now has an Assign to option so you can choose which booking role the task should go to. For example, deposit chasing can sit with Sales while the banquet event order checklist goes to Operations, from a single template.

The following reports reference the booking assignee as a filter, a column, or both, and are being updated to distinguish the two roles:

  • Daily Events, and Daily Events with Details

  • Event List

  • Payment List


Frequently asked questions

Do I have to set an Operations assignee?
No. It is optional. Bookings work exactly as before if you leave it empty.

Will my saved views and existing reports break?
No. Existing assignee data carries over to the Sales role, so saved views and reports continue to return the same bookings.

Can I assign more than two people to a booking?
Not at this stage. This release adds the Sales and Operations roles only.

Can workflow steps be assigned to any individual user?
Not yet. Steps can be pointed at a booking role (Sales or Operations). More flexible per-user workflow assignment is not part of this release.
