Mews Account & Contact Sync in Event Temple

Learn how to sync Accounts and Contacts between Event Temple and Mews, including linking, creating, and managing customer profiles across properties and chains. This guide explains default sync settings, manual vs automatic options, and best practices for accurate data flow.


Prerequisites

  • Global Accounts & Contacts may be enabled for your organization.

  • Admin users may need to contact Event Temple support to enable these features.


Accounts – Synced Fields

  • Account Name

  • Tax Number

  • IATA Number

  • Address

Contacts – Synced Fields

  • First Name

  • Last Name

  • Phone Number

  • Email Address

  • Address


Accounts Sync

Accounts in Event Temple can sync with Mews Company Profiles. This is useful for shared chain-wide Companies and centralized billing management.

Sync Behaviour

  • Sync

    • All Accounts created in ET are created and synced to Mews

    • All Accounts created in Mews are created and synced to ET

    • Accounts can be prompted to sync from MEWS when you click the Sync Accounts button in Event Temple under PMS Settings

      Address Sync Behavior

    • Address will sync with Mews when new Accounts/Contacts are created in Event Temple.

    • Address will sync with Mews if Account/Contact is updated in Event Temple

    • Clicking on Sync Accounts button in Event Temple under PMS Settings Accounts/Contacts will update the addresses in ET with what is in Mews

    • Linking an Account/Contact manually to Mews will update the address in ET to what is in Mews

      Import Sync Behavior

    • Accounts created prior to integration to Mews will not be automatically synced to Mews.

    • Accounts imported will NOT sync to Mews.

    • These will need to be manually synced from ET to Mews.

  • Recommendations for Better Sync Flow

    It is recommended to make updates directly within Event Temple as changes are automatically synchronized to Mews. This practice ensures data consistency and minimizes discrepancies between the two systems.

Important: Accounts are not used for posting charges; charges are posted under Contacts.

Default Sync Settings

  • Create on PMS by default: Auto-create Accounts in Mews when new ET Accounts are added

  • Show option to create on PMS: Let users choose per Account whether to sync

How to Sync Accounts

New Account:

  • Depending on settings, ET may auto-create the Company in Mews

Existing Account:

  1. Open the Account Summary Page

  2. Click Link to Mews

  3. Search for the Company

  4. If found → Link

  5. If not → Create in Mews

Synced Accounts show a green checkmark ✅ and can be filtered by Sync Status.


Group & Reservation Sync

If you are using Mews Group Sync or Mews Reservations, the Account linked to a booking will automatically sync to Mews. This ensures that group bookings and reservations inherit the correct Account without additional manual linking.


Contacts Sync

Contacts in Event Temple can sync with Mews as Customers. This includes Paymasters and other customer profiles.

Sync Behaviour

  • New Contacts in ET → sync to Mews

  • Updates in Mews → sync back to ET

  • Existing Contacts must be manually linked if not previously synced

  • Contacts created in Mews are not automatically created in ET

  • Imported or pre-integration Contacts do not sync automatically

Default Sync Settings

  • Create on PMS by default: Auto-create Contacts in Mews

  • Show option to create on PMS: Let users choose per Contact whether to sync

How to Sync Contacts

New Contact:

  • If a match is found in Mews → linked

  • If no match → new customer created in Mews

Existing Contact:

  1. Open Contact Summary Page

  2. Click Link to Mews

  3. Search by email

  4. If match → Link

  5. If not → Create in Mews

Paymaster Accounts:

  • Can be marked when creating a Contact

  • Naming convention depends on whether created manually or automatically

  • Visible across all properties if Global Contacts enabled

Synced Contacts show a green checkmark ✅ and can be filtered by Sync Status.


Recommendations

  • Make updates in Event Temple first for consistency

  • Train users on manual vs automatic sync options to avoid duplicates

  • Ensure naming conventions are clear when working across multiple properties in a Chain
