The Invoices page in Event Temple provides a centralized view of all invoices created within your organization. It helps you monitor payment status, due dates, and related bookings in one place.

How to Track Invoices in Event Temple

Follow these steps to track invoices effectively:


Step 1 — Open the Invoices Page

  1. From the left-hand menu, select Bookings.

  2. Click Invoices to open the full list of invoices.

  3. You’ll see a table displaying all invoices associated with your organization.


Step 2 — Use the Search and Filters

  • Use the Search bar at the top to find a specific invoice by:

    • Invoice number (e.g., INV-00074)

    • Booking name

    • Contact or company name

  • Apply filters such as:

    • Overdue: Show only invoices past their due date.

    • Draft, Sent, or Paid: View invoices by stage or payment status.

  • You can also use the Add Filter option to narrow results further (e.g., by date range or invoice type).


Step 3 — Review Invoice Details

Each row in the invoice list includes the following key details:

  • Invoice Number — Unique ID for reference (click to open full details).

  • Invoice Type — Indicates if it’s a standard or prepayment invoice.

  • Billed To — Displays the contact or account being invoiced.

  • Invoice Stage — Shows whether the invoice is in Draft, Sent, or another stage.

  • Payment Status — Displays if the invoice is Unpaid, Partially Paid, or Paid.

  • Booking — Links to the associated event or group booking.

  • Paid / Total — Shows how much has been paid out of the total amount.

  • Amount Due — Indicates any remaining balance.

  • Due Date and Issue Date — Help you track payment timelines.


Step 4 — Open an Invoice for More Details

  • Click the Invoice Number to view the detailed invoice record.

  • From there, you can:

    • Review or update payments.

    • Share the invoice with clients.

    • Edit or print the document.


Step 5 — Monitor Payment Progress

  • Check the Payment Status column to quickly identify outstanding or overdue invoices.

  • Use the View: Overdue filter to focus on unpaid invoices requiring follow-up.

  • The Paid / Total and Amount Due columns help track how much has been collected versus what remains.


Step 6 — Export or Save Your View (Optional)

  • Click the Export button to download invoice data for reporting or accounting.

  • Use Save View to preserve custom filters and sorting preferences for quick access later.

The Invoices page is your main control center for managing and tracking all billing activity. Using the search, filters, and detailed columns, you can easily identify payment statuses, track overdue balances, and access complete invoice records with one click.
