Invoices Report
The Invoices Report provides a centralized view of all invoices created in your account. It’s an essential tool for tracking billing activity, monitoring outstanding payments, and reviewing invoice details related to bookings, contacts, and accounts.
How to Access the Invoices Report
From the main navigation menu, select Reports.
Under the list of available reports, choose Invoices.
The Invoices Report page will open, displaying a detailed list of all invoices within your organization.
Understanding the Report
This report displays key information about each invoice, including:
Invoice Number – The unique identifier for each invoice. Click this number to open the full invoice record.
Invoice Type – Indicates whether the document is an Invoice or a Connected Invoice.
Billed To – The primary contact or account associated with the invoice.
Invoice Stage – The current status of the invoice, such as Draft, Finalized, Sent, or Void.
Payment Status – Displays whether the invoice is Paid, Partial, Unpaid, Overdue, or Overpaid.
Paid / Total – Shows the total amount paid against the invoice balance.
Amount Due – The remaining amount yet to be paid.
Due Date – When payment is expected.
Issue Date – When the invoice was originally created.
Each invoice entry is clickable, taking you directly to the detailed invoice view for further actions such as recording payments, resending, or updating details.
How to Use Filters
You can refine the report results using filters:
Click Add Filter at the top of the page.
Select parameters such as:
Invoice Stage (e.g., Draft, Finalized)
Payment Status (e.g., Paid, Overdue)
Issue Date or Due Date range
Billed To (specific contact or account)
Apply multiple filters to narrow your search as needed.
This helps you quickly find invoices that need attention — for example, those that are overdue or partially paid.
Sorting & Exporting
Sort: Click any column header (e.g., Due Date or Amount Due) to reorder results.
Export: Click Export to download the data for recordkeeping or financial reconciliation.
You can export the report in common formats such as CSV or PDF, depending on your needs.
Practical Use Cases
Review all unpaid or overdue invoices for follow-up.
Export monthly invoices to share with your accounting team.
Track revenue collection by monitoring Paid / Total values.
Verify that all bookings have been correctly invoiced and paid.
Tips
Keep your filters consistent when running recurring financial reviews to ensure comparable data.
Use the Billed To and Booking links to navigate directly to client or booking records for quick context.
Save frequently used filter and column settings for faster report generation.
