Food and Beverage Minimum

The Minimum Food and Beverage (F&B) field lets venues set a required F&B spend for a booking. It's useful when there's a revenue target, a minimum spend requirement, or a contract that includes a minimum F&B commitment.

Where to Find It

You can find the Minimum Food and Beverage field in the Revenue Summary section of each booking:

  • Revenue Summary > Minimum Food and Beverage

This value represents the minimum F&B revenue expected from the booking.

How It Works

When you create events within a booking (e.g., a Welcome Dinner, Networking Lunch, or Gala), each event includes a new field:

  • Estimate Food and Beverage

These estimates are intended to reflect the anticipated spend on F&B for each event.

By default, the system automatically calculates the Minimum Food and Beverage for the entire booking as the sum of the "Estimate Food and Beverage" values from each event.

Example

If your booking includes:

  • Welcome Reception: $2,000

  • Conference Lunch: $3,000

  • Gala Dinner: $5,000
    Then the booking’s Minimum Food and Beverage is $10,000.

You can manually override the calculated total if you want the contract to reflect a different F&B minimum than the system’s default..

Using Minimum F&B in Documents

You can reference the Minimum F&B value in proposals, contracts, and other documents using the following merge field:

This makes it easy to include revenue expectations in client-facing materials and ensure contractual clarity.
