The Guest Portal offers a seamless, branded experience where guests can view invoices, sign documents, make payments, and stay informed—without needing to log in repeatedly. It's fast, secure, and built to make your guest interactions smoother from start to finish.


Key Benefits

Instant Setup

Links are automatically created per Booking—no special configuration required. Just enable the feature and you're ready to go.

Secure, Password-Free Access

Only Contacts associated with a Booking can view the portal. Guests verify access via email and stay signed in for 30 days.

Invoices & Payments

  • View and pay invoices directly through the portal

  • Automated reminders help reduce late payments

  • Guests can also view a full payment history

Document Sharing & Signing

  • Guests receive proposals, contracts, and other documents

  • Sign or complete documents online

  • Due dates are clearly displayed to help guests stay on track

  • Status updates (e.g., Signed, Pending, Completed) are reflected in real time


Guest Portal Setup

Step 1: Enable the Guest Portal

  1. Go to Settings

  2. Under Tools, click Guest Portal

  3. Toggle the portal ON

Step 2: Customize Optional Settings

Links

Add helpful resources like menus, floorplans, or FAQs:

  • Click Edit under the Links section

  • Click Add Link, enter a label + URL, and Save

Hidden Event Types

Hide specific event types from the guest timeline (they still count toward revenue):

  • Click Edit in Hidden Event Types

  • Select any event type you want to hide

Images

Brand the portal by adding custom visuals:

  • Under Images, click Browse to upload files


Guest Access & Privacy

For Event Temple Users

Access the Guest Portal link directly from the Booking Summary page.

For Guests

There are 3 ways to share the portal:

  1. Email Templates: Use the merge fields

    • Guest Portal Url

    • Html Guest Portal Url

  2. Manual Sharing: Copy the link directly from the Guest Portal and paste it into any communication (email, chat, etc.)

  3. Automated Emails: Include the portal link in system-generated templates for documents and invoices.

Privacy Rules

  • Only Contacts on the Booking can access the Guest Portal

  • Guests verify access by entering their email (must match the Booking)

  • A secure link is sent to their inbox (valid for 1 hour)

  • Once authenticated, guests stay logged in for 30 days

  • Event Temple users skip authentication if already logged in


Guest Portal Sections

Invoices

  • Sent invoices appear under the Invoices tab

  • Guests can click to view and pay

  • When a payment is recorded, a Past Payments section will also appear

Documents

  • When documents are sent, they appear under Action Items with their due date

  • Guests can click View to fill out and sign

  • Document statuses update based on guest actions and your workflow

    • Pending until marked as Completed

    • Signed after guest submits

    • Once completed, they’re removed from Action Items and moved to the Documents tab
