    • Implementing our Guest Portal is simple and quick. Links are auto-generated, requiring minimal setup from your team. This ensures that you can start using the portal without extensive technical knowledge or resources, allowing you to focus on providing exceptional service to your guests.

    • Only guests who are Contacts on the Booking can access their own portal. This is done without the need to remember passwords or go through lengthy sign-in processes. This ensures quick and secure access, enhancing guest convenience

    • The portal shows invoices & provides a streamlined payment system. Guests can view and pay invoices directly through the portal, making the financial aspect of their interaction straightforward and transparent. Automated reminders help ensure timely payments.

  4. Document Management

    • Manage all necessary documents such as proposals, contracts, and agreements through the portal. Guests can easily access, review, and sign documents. The portal also tracks due dates, ensuring that guests submit required documents on time, keeping everything organized and on schedule.

Setup The Guest Portal

1. Enable the Guest Portal

  1. Click Settings

  2. Under Tools, click Guest Portal

  3. Enable the Portal

2. Customise Optional Settings

Links

Include links to menus, floorplans and other key details you would like to share.

  1. Click Edit in the Links Section

  2. Click Add Link and enter a Label and URL, click Save

Hidden Event Types

Events with the selected Event Type are hidden from the timeline view but are still part of the revenue summary.

  1. Click Edit in the Hidden Event Types Section

  2. Select the Event Type you'd like to hyde

Click Browse in the Images section to add images to the portal

Access a Bookings' portal by clicking the link Located In the Booking Summary

✉️ Guests

  • Utilize a Booking merge field in email templates. These are named Guest Portal Url and Html Guest Portal Url in Email Templates.

  • Share the URL directly by copying it from the live page & pasting it in your preferred communication tool.

🔒 Privacy

  • Only Contacts of a Booking have to access to their own Bookings' portal

  • When guests are not authenticated, they will be prompted to enter their email address associated with the Booking.

  • If the email address belongs to the Booking’s Contact, an access link is sent to their inbox. The access link allows the guest to access the guest portal

  • The access link is valid for one hour

  • Once logged in, the session is valid for 30 days. Guests don’t have to log in again for 30 days

  • Event Temple users don’t have to go through the authentication process if you are already logged in to the platform in the same browser.


Invoices

  • When an Invoice is sent to a guest, it is added to the Invoices section of the portal so that guests can click to view it

  • When a Payment is added to the Booking, a Past Payments section is added to the portal


Document Management

  • When a Document is sent to a guest to be finalized, it will be appear under Documents in the Action Items section of the portal along with the due date

  • A guest can click the View button to view, fill out and submit the Document

  • Documents will also display in the Documents section of the portal and will show show their status

  • If your Document does not have a Signature element, the Document will continue to show Pending until you update it to Complete inside the Document area.

  • Then it will no longer show in the Action Items Section and will be marked as Signed.
