How to Pull The Coming Weeks Function Sheets

HowIf you need to view or export all Function Sheets, BEOs, or other Document Types for upcoming events, you can easily do this from the Documents module in Event Temple. do I get a list of Documents for a certain date

This feature is especially useful for operational teams preparing for the coming week’s events or for managers who need a quick summary of upcoming functions.


Step 1: Go to the Documents Module

  1. From the left-hand sidebar, select Documents.

  2. You’ll see a table showing all documents for your organization.


Step 2: Add Filters

You can filter your documents by Document Type, Booking Start Date, and other criteria to narrow down your list.

  1. Click Add Filter at the top of the page.

  2. Choose Document Type from the list.

  3. Select the relevant document type (for example, Banquet Event Order or Contract).

  4. Click Add Filter again.

  5. Choose Booking Start Date.

  6. Select the appropriate date range:

    • To view this week’s functions, select This Week.

    • To prepare for next week, select Next Week.

    • You can also set a Custom Range (e.g., November 10–17, 2025).

The system will now display only documents of the chosen type for the specified date range.


Step 3: Review or Sort the Results

  • Use the Sort option beside any column (e.g., Booking Start Date or Status) to organize your data.

  • You can also click Columns to adjust which fields are visible — such as Document Title, Status, Updated At, or Booking Name.

💡 Tip: To reorder columns, hover over one in the Selected Columns section, click the six-dot icon (⋮⋮), and drag it up or down. Click Apply to save your layout.


Step 4: Save or Export Your View

Once your filters are applied and your layout looks good, you have two options:

Option 1: Save the View

  1. Click Save View at the top of the page.

  2. Select Save as New.

  3. Name it something clear, like “This Week’s Function Sheets” or “Next Week’s BEOs.”

  4. Choose whether to make it Private (only visible to you) or Shared (visible to your team).

  5. Click Save.

You can now access this saved report anytime from the View dropdown.


Option 2: Export the List

  1. Click the Export button in the top-right corner.

  2. Choose your preferred export format (e.g., CSV).

  3. The exported file will include all visible columns and filters currently applied.


Example Use Case

  • Weekly Operations Meetings: Filter for Document Type = Banquet Event Order and Booking Start Date = Next Week to review all upcoming BEOs.

  • Conference Setup Check: Filter for Function Sheets scheduled This Month to ensure all events are properly documented.

  • Manager Reporting: Export all Contracts created Last Week to verify signed agreements.


Tip:
Save separate shared views for your Sales, Banquets, and Events teams so everyone can quickly access the information most relevant to their department.
