This guide covers how to update key Contact details, link Contacts to Accounts, set Primary Contacts, and add custom salutations for client communications.
Updating a Contact’s Associated Account
To change or assign the Account linked to a Contact:
Navigate to Contacts from the left-side menu and select the Contact profile you want to edit.
Locate the Account field on the summary page.
Click the Account dropdown menu, select the new Account, or create a new one.
Click Save to confirm your changes.
Setting and Changing Primary Contacts
A Primary Contact serves as the main point of contact for communications, automated workflows, and document merge fields. Primary Contacts can be set at both the Account level and the Booking level.
Account-Level Primary Contact
Sets the default contact for an Account:
Open the Account record and scroll to the Associations section.
Find Primary Contact and select the designated Contact from the dropdown.
Booking-Level Primary Contact
Controls which Contact populates documents and invoices for a specific Booking (overriding the Account default):
Open the Booking Summary page and scroll to the Contacts section.
Hover over the desired Contact name and click Set Primary.
Note: Each Booking can only have one Primary Contact, and changes update merge fields across documents immediately.
Adding Salutations
Adding a salutation allows you to customize client greetings (e.g., "Dear Jane" or "Mr. Smith") when using merge fields in emails, proposals, and documents.
Option 1: The "Dear" Text Field
Open the Contact record you wish to edit.
Locate the Dear text field under Contact details.
Type the exact salutation text as you want it to render in documents.
Click Save.
Option 2: Static Picklist (Custom Field)
For account-wide consistency across Contacts:
Go to Settings → Fields → Custom Fields
Create a new Picklist field for salutations and enter your standard options (e.g., Mr., Mrs., Dr., Ms.).
Assign the field to Contacts or Bookings as needed for merge field usage.
