How to Add Secondary Contacts to Documents and Invoices

Learn why secondary contacts do not automatically appear on documents, invoices, or reports in Event Temple and how to manually include them using custom fields or merge fields.

Updated this week

Currently, only the Primary Contact automatically populates on documents, invoices, and reports in Event Temple.

Secondary contacts are stored on the booking but are not included automatically in document templates.

Why this happens

Event Temple uses the Primary Contact as the default data source for:

  • Documents

  • Invoices

  • Reports

Secondary contacts are considered additional booking information and must be manually included if needed.

Workarounds for adding secondary contacts

If you need to include secondary contact information, you can use one of the following options:

Option 1: Manually add Contact details

You can manually enter secondary contact information directly into:

  • Documents

  • Invoices

  • Reports

βœ” Best for one-off or occasional use

Option 2: Use Custom Fields + Merge Fields

For repeated use cases:

  • Add secondary contact details into Booking Custom Fields

  • Use Merge Fields to display them in document templates

βœ” Best for consistent reporting or templated documents

Important notes

  • This is expected system behaviour

  • Only Primary Contact auto-populates by default

  • Secondary contacts require manual setup or custom fields
