How do I Create a New Workflow for a Booking?

Objective:

  • Make a workflow

  • Create an automation for my Bookings

  • Automate my tasks

  • Set-up Traces

  • How do I create Task Automation for my Bookings?

Procedure:

You must be an Account Administrator to set-up workflows. If you do not see these steps, contact your admin!

  1. Click Settings on the left-hand side of the app

  2. Select Organization

  3. Click on Workflow Templates

  4. Click the New Workflow Template button at the top

  5. Give your Workflow Template a Name

  6. Add an action step, by clicking New Workflow Action Step button

  7. Select the type of action you want to perform (i.e. set a task)

  8. Give your action a name

  9. Select when you would like the action to be performed

  10. Select Save

  11. Add more Action Steps as needed

Additional Information:

  • If you want to apply these Workflows to your Bookings, see the steps outlined here.

  • When you apply a Task as a step in a Workflow, it will be triggered as a Task under the conditions you choose. You can select a specific Task Type and due date.

  • When you apply an Email Template as a step in the Workflow, that Email will actually be sent automatically to the customer at the scheduled date.

  • You can use both Tasks and Emails as part of your workflow.

  • You can attach multiple Workflows to a Booking.

  • When an action has been done on a Workflow (email sent or Task created) a check mark will appear next to it.

  • You cannot see all the Workflows / Traces in one place at this point in time. You can see the individual workflows from within the Booking itself by accessing the Booking in question and clicking on the Workflows Subtab. You can also see the individual tasks in the Tasks List or Tasks Calendar once the due date has arrived.
