Managing Tax-Inclusive Pricing (TIP) in Event Temple

Tax-Inclusive Pricing (TIP) in Event Temple displays final prices including taxes and fees. Learn how Admins and users manage TIP on invoices, menu items, documents, and room rentals while ensuring accurate pricing across your organization.

Tax-Inclusive Pricing (TIP) allows you to display the final price of items including taxes and service fees, rather than the pre-tax amount. TIP is determined when your Organization is created. For changes to tax-inclusive accounts, Admin users must contact Event Temple Support, as backend adjustments may be required.

TIP affects invoices, menu items, documents, and room rentals, helping ensure your pricing reflects all applied taxes and service fees automatically.


TIP Overview

  • Enabled TIP: Prices on invoices, menu items, and documents include taxes and service fees. The “+” sign in the tax label is removed, and the colour may indicate inclusion.

  • Disabled TIP: Prices display in the traditional pre-tax format, with taxes added separately.

  • Customization: TIP settings default to your Organization but can be adjusted per invoice, document, or menu item. Changes do not affect previously created invoices.

  • Admin role: Only Admin users can manage organization-wide defaults and certain backend adjustments. Non-admin users can manage TIP at the invoice or document level if permitted.


How to Manage TIP Settings

Organization-Wide Settings (Admin Only)

  1. Go to Settings > Organization > General Settings.

  2. Under Menu Items, locate Use tax-inclusive pricing by default.

  3. Enable or disable TIP for all new invoices and menu items.

Note: Tax-inclusive accounts may require backend support to change. Tax-exclusive accounts can manage VAT/tax rates directly.


Menu Items

  • When editing a menu item, you can choose pre-tax or tax-inclusive pricing.

  • Admin users control menu item defaults for the organization.

  • Assigning menu items to spaces applies TIP automatically during bookings.

  • Always double-check line items; certain features (like “add multiple events”) may display net prices initially.


Invoices

  • Open the invoice you wish to edit.

  • Under Options, toggle Show tax-inclusive price for a single invoice.

  • TIP affects line totals and subtotal, ensuring taxes and fees are included.

  • Review the line items tab to see accurate tax calculations.

  • Permissions: All users with invoice edit rights can toggle TIP, but organization defaults are set by Admins.

Tip: Taxes will be highlighted in blue if "Show tax-inclusive price" has been checked off.


Documents

  • When adding the Menu Items element to a document, TIP defaults to your Organization’s setting.

  • You can enable or disable TIP per document if permitted.

  • Admin users control the default TIP setting for new document templates.


Room Rentals and Event Creation

  • Prices added via the event creation page may display as net (excluding tax), even with TIP enabled.

  • Use the line items tab or event list view to confirm that room rental fees are calculated correctly.

  • Admin role: Admins should review room rental pricing workflows to ensure consistency across the organization.


Adding New Tax Rates (For Tax-Exclusive Accounts)

  1. Navigate to Settings > Taxes.

  2. Add or edit VAT/tax rates.

  3. Apply rates to relevant menu items, invoices, or bookings.

Limitation: Event Temple does not provide an automatic way to revert VAT changes. Updates must be applied manually in Settings and individual bookings.


Best Practices for Accurate Tax Management

  • Use the line items tab to review all charges for invoices and events.

  • Be aware of net vs. tax-inclusive pricing discrepancies in workflows like the event creation page or “add multiple events.”

  • Double-check menu items assigned to spaces to ensure TIP applies correctly.

  • Admin users should contact Event Temple Support for backend TIP changes or account configuration.

  • Regularly review organization defaults to ensure consistency across documents, invoices, and bookings.
