Managing Rooming Lists

Learn how to add, collect, and manage rooming list details for group bookings in Event Temple.

Event Temple does not have a dedicated Rooming List feature. Group booking details are typically managed and finalized within your Property Management System (PMS).

However, there are several ways to collect and manage rooming list information within Event Temple.


Option 1: Add a Note or Attachment

When creating a Group with Rate & Room Blocks, you can:

  • Add the rooming list details as a Note, or

  • Attach a rooming list spreadsheet or document as an Attachment.

This is a great option if you already have the rooming list in another format or simply need to keep the information associated with the booking.


Option 2: Use a Document Template

If you'd like your customer to complete a rooming list, you can create a Document Template with fillable fields for them to complete and submit.

Some useful Document Elements include:

  • Input Text (Single) – Guest names or other single-line information.

  • Input Text (Multi) – Special requests or additional notes.

  • Picklist – Select a room type or other predefined options.

  • Checklist – Choose multiple preferences, such as amenities or accessibility requirements.

  • Signature – Allow the customer to confirm the rooming list before submitting.

For example, you could collect:

  • Guest names using Input Text (Single)

  • Room preferences using Picklists or Checklists

  • Final approval with a Signature field


Important Information

Information entered into an Event Temple document (including signatures) is stored only within that document. It does not automatically populate other areas of Event Temple, such as contacts, bookings, or room blocks.

If any of the submitted information needs to be reflected elsewhere in Event Temple or your PMS, it must be entered manually.
