Proposals Masterclass

Event Temple’s Proposals feature allows your team to create visually engaging proposals for guest rooms, meetings, events, and add-ons — helping you respond to inquiries faster and close business more efficiently.

With Proposals, you can:

  • Send quick quotes without building a full booking

  • Create branded proposal templates

  • Showcase guest rooms, meeting spaces, menus, and amenities

  • Add upsell opportunities through add-ons

  • Track proposal engagement and acceptance

  • Automatically send proposal reminders

  • Collect signatures directly through the proposal

Important: The Proposals feature is only available in New Look.


Accessing Proposals

To access Proposals:

  1. Log in to Event Temple

  2. Navigate to the left-hand menu

  3. Select Proposals

From this screen, you can:

  • Create new proposals

  • Track proposal statuses

  • Monitor engagement metrics

  • View accepted or rejected proposals

You can also see:

  • Number of views

  • Unique opens

  • Last viewed date

  • Proposal status


Creating a Quick Proposal

Quick Proposals are designed for fast turnaround quotes without creating a full booking first.

This is ideal when:

  • A client needs pricing quickly

  • You want to respond before competitors

  • Availability is straightforward

  • You only need to provide estimated pricing

How to Create a Quick Proposal

  1. Navigate to Proposals

  2. Click Create Proposal

  3. Select a proposal template

  4. Enter:

    • Guest room quantities

    • Meeting space details

    • Food & beverage estimates

    • Rental pricing

  5. Add the client’s contact information

  6. Send the proposal

What Happens Next?

When a Quick Proposal is sent:

  • Event Temple automatically creates a booking

  • No room block or event is created yet

  • Inventory is not deducted

  • The client receives a branded proposal link

Once accepted, your team can proceed with building the full booking.


Creating Proposal Templates

Proposal Templates help standardize your proposals and save time.

Access Proposal Templates

  1. Navigate to:
    Settings → Templates & Files → Proposal Templates

Note: Only Admin users can create or edit proposal templates.


Recommended Proposal Templates

We recommend creating multiple templates based on your business segments, such as:

  • Meetings & Events

  • Guest Rooms Only

  • Weddings

  • Sports Teams

  • Corporate Groups

  • Commissionable Proposals

  • Non-Commissionable Proposals


Cloning a Template

To get started quickly:

  1. Open one of the default proposal templates

  2. Click Clone

  3. Customize the copied template

This provides a strong foundation without starting from scratch.


Proposal Elements

Proposal Templates are built using elements.

You can add:

  • Text

  • Media

  • Attachments

  • Room Blocks

  • Events

  • Add-Ons

  • Charge Summaries

Adding Media

You can upload:

  • Photos from your computer

  • Venue images

  • Guest room photography

  • Event setup images

You can also add:

  • YouTube videos

  • External video links

This is especially useful for:

  • Weddings

  • Resort properties

  • Luxury experiences

  • Sports travel


Using Attachments

Attachments allow you to link external resources such as:

  • Menus

  • Capacity charts

  • Terms & Conditions

  • Wedding packages

  • Promotional materials

Note: Attachments currently support links only, not PDF uploads.


Creating Add-Ons

Add-ons allow guests to enhance their booking directly from the proposal.

Examples include:

  • Parking

  • AV packages

  • Continental breakfast

  • Late checkout

  • Projector & screen

  • Restaurant vouchers

  • Spa services

Configuring Add-Ons

When creating add-ons, you can:

  • Set minimum quantities

  • Set maximum quantities

  • Allow flexible quantities

  • Add pricing

  • Upload images

Add-ons automatically populate into the booking once accepted.


Sending a Proposal from a Booking

You can also create proposals directly from an existing booking.

How to Send a Proposal from a Booking

  1. Open the booking

  2. Select the Proposal section

  3. Click Add Proposal

  4. Choose a template

  5. Set:

    • Proposal title

    • Expiration date

    • Signature requirements

  6. Review and edit proposal elements

  7. Send the proposal


Proposal Expiration Dates

By default, proposal expiration dates are set to 14 days from creation.

You can manually update the expiration date before sending.


Editing Proposal Elements

Each proposal can be customized before sending.

You can:

  • Hide pricing

  • Add images

  • Add text sections

  • Include concessions

  • Reorder sections

For example:

  • Add concession notes

  • Include room type descriptions

  • Add event setup images


Client Experience

When clients receive the proposal, they can:

  • Review room blocks

  • View event details

  • Select add-ons

  • Review estimated totals

  • Accept terms and conditions

  • Sign electronically

Accepted add-ons automatically populate into the booking’s line items.


Proposal Statuses

Proposal statuses include:

  • Draft

  • Sent

  • Accepted

  • Rejected

Statuses update automatically as clients interact with the proposal.


Proposal Tracking & Reporting

Within the Proposals area, you can filter by:

  • User

  • Status

  • Proposal activity

This helps teams monitor:

  • Proposal volume

  • Open rates

  • Accepted proposals

  • Rejected proposals


Automatic Proposal Reminders

Event Temple can automatically follow up with clients after proposals are sent.

Configure Proposal Reminders

  1. Navigate to:
    Settings → General Settings → Customer Notifications

  2. Click Edit

  3. Add reminder timing

Example reminders:

  • 2 days after sending

  • 7 days after sending

Reminders stop automatically once the proposal is accepted.


Proposal Best Practices

Create Segment-Specific Templates

Different audiences respond to different visuals and messaging.

Examples:

  • Weddings → Romantic photography and venue videos

  • Sports teams → Pool, amenities, double rooms

  • Corporate meetings → Boardrooms and AV setups


Use Add-Ons to Increase Revenue

Add-ons are a great way to upsell:

  • Parking

  • Breakfast

  • AV equipment

  • Upgraded experiences


Keep Templates Clean

The more complete your templates are, the faster your sales team can send proposals without editing.


Treat the Booking as the Source of Truth

Proposal information pulls from the booking.

Maintain accurate:

  • Room blocks

  • Event details

  • Pricing

  • Line items
