Exercise 1

Create a Banquet Event Order for the McKinley High Football team.

Include the following information in your BEO:

  • full line up of events

    • serving times

    • set up instructions

  • due date

  • pricing details

  • taxes

  • terms

Dear Hotel Manager,

I coach the McKinley High Titans and we’re looking for accommodations for one night along with dinner and breakfast June 4th and 5th. We need hotel rooms, team dinner upon arrival, and a buffet breakfast. We have stayed with you before in November of last year.

Here are the details for our event:

  • Group Size: 32 adults and teens

  • Arrival Date: June 4

  • Number of Rooms: 20 double queen rooms

  • Team Dinner: We would like to arrange a private dinner for the evening of our arrival. We are open to a pre-set menu or a buffet-style meal - our budget is $95 per person (no alcoholic beverages please)

  • Breakfast: The following morning, we would like to have a buffet-style breakfast available for the entire group before we depart.

Exercise 2

Create a wedding specific proposal for Jen and Edward’s wedding event.

Include the following information in your proposal:

  • availability of rooms for the requested dates, pricing, including any group rates/discounts.

  • menu, pricing, timing for each event

  • details on the meeting space that could accommodate the group

  • cancellation policy and any contract requirements

  • due date and signature block

  • Include images and descriptions of your venue, headers, and logo

Dear Venue Team,

My fiancé and I are recently engaged and are beginning our search for a venue to host our two-day wedding celebration. We are hoping to find a location that can accommodate all of our events and a room block for our guests. The ballroom images on Google look incredible.

We are anticipating a guest count of approximately 150 people and are looking for a venue for June 20 to 22. We would like to request a room block of 30-40 rooms for our guests for these dates. Guestrooms to be paid for by the guest.

Below is our tentative itinerary. We are flexible and open to your suggestions on how to best utilize your space.

Friday, June 20 - 7pm Welcome Reception for 150 guests with light canapes and open bar

Saturday, June 21 - 2pm-3pm Wedding Ceremony for 150 guests (include podium, chairs and AV package)

4pm-5pm Cocktail Hour for 150 guests with light canapes, open bar, and music)

5pm-12am Dinner Reception with open with dancing for 150 guests (speeches, head table, podium, AV, etc.)

Sunday, June 22 - 10am Farewell Buffet Brunch for 75 guests

Exercise 3

Set the Brockton Point Corp. event to a past date and create an invoice for the booking.

Include the following information in your Invoice:

  • a $1,500 deposit paid one month prior to the event

  • updated guest count of 14 people

  • discount if paid within 10 days

  • taxes

  • terms and due date

Dear Hotel Manager,

I am writing on behalf of Brockton Point Corp. to inquire about hosting our annual board meeting and dinner at your hotel. One of your Sales Managers stopped at our office the other day (what great timing). We are looking for a suitable venue and accommodations for 15 adults for a two-day event. We are flexible with dates but are looking at June 12.

Function Space Needs: A boardroom or meeting space that can comfortably accommodate 15 people in a U-shape. We will need a projector and screen, whiteboard, power outlets and reliable Wi-Fi for the duration of the booking.

Accommodation Needs: We will need 5 single-occupancy rooms for the night before the event begins, for our directors who will be arriving early. Quiet rooms away from the elevator and ice machines please.

Day 1:

Morning: Board meeting session (9:00 AM - 12:00 PM)

Lunch: Group lunch in a private or semi-private dining area (12:00 PM - 1:00 PM)

Afternoon: Board meeting session (1:00 PM - 5:00 PM). Coffee and snack break at 3PM

Day 2:

Breakfast: basic breakfast buffet and coffee service (7:00 AM - 8:00 AM)

Morning: Board meeting session (8:00 AM - 11:00 AM)
