How to Create and Customize a Smart Proposal Template

Smart Proposal Templates let you create professional, interactive proposals tied directly to a booking. Using templates, you can standardize branding, content, and layouts across different languages, event types, or market segments. This guide walks you through creating, copying, editing, and managing templates, as well as tips for designing effective Smart Proposals.

Note: Advanced Proposals give access to AI Add-on elements and AI email parsing (paid features). Standard Smart Proposals do not require these add-ons.


Accessing Proposal Templates

Navigate to: Settings → Templates & Files → Proposal Templates

You’ll see two tabs:

  • Organization Proposal Templates – templates created and managed by your property

  • Event Temple Standard Proposal Templates – pre-built templates provided by Event Temple

All templates you create or copy appear under the Organization tab.


Creating a New Template

  1. Ensure you are in the Organization Proposal Templates tab

  2. Click New Template

  3. Complete the setup fields:

    • Title – descriptive name (e.g., “Corporate Proposal 2026” or “Wedding Proposal – Summer”)

    • Language – determines default text and merge fields

    • Banner Image – high-resolution JPG or PNG to display at the top

  4. Click Save → opens the Proposal Editor, where you can begin adding elements.

Tip: Clear, descriptive titles make templates easier to organize and find.


Copying an Existing Template

Instead of starting from scratch, you can copy a professionally designed template:

  1. Go to Event Temple Standard Proposal Templates tab

  2. Browse and preview available templates

  3. Select Copy (or Use Template, depending on UI)

The copied template appears under Organization Proposal Templates, ready for full customization.

Pro-Tip: Copying pre-built templates is the fastest way to build proposals with structured layouts and placeholder content.


Customizing Your Template

You can structure your Smart Proposal using four main elements:

Content Element

  • Flexible text-and-image block

  • Ideal for introductions, package highlights, or visual sections

  • Use the basic format tools to influence how the text looks. Font styles cannot be changed, and merge fields cannot be added.

Event Timeline Element

  • Displays the event schedule (Meetings, Dinners, Receptions, etc.)

  • Toggle Hide Price if needed

Room Block Element

  • Shows guestroom blocks and rates associated with the booking

  • Toggle Hide Price

  • Display options: Total per Room Type or Occupancy Level

Charge Summary Element

  • Displays financial totals (e.g., F&B Minimum, Line Items)


Editing & Managing Elements

  • Edit: Pencil icon on the element

  • Remove: Trash icon

  • Reorder: Drag elements up or down

  • Duplicate Template: Copy an entire template for reuse

Best Practice: Place Content Elements between system-generated elements for a clean layout. Keep large images near the top for visual impact and add Charge Summary toward the end for clarity.


Managing Your Templates

From the Proposal Templates list, you can:

  • Open a template to edit

  • Duplicate a template to create variations

  • Delete templates you no longer need

Pro-Tip: Regularly review your templates to keep your library organized. Use clear naming conventions and include branding in the banner image. Review quarterly to ensure pricing, branding, and images remain current.


Best Practices

  • Use multiple Content Elements instead of one long block for easier editing

  • Use Event Timeline and Room Block elements only once per template

  • Place system-generated elements thoughtfully to maintain a clean flow

  • Keep templates consistent across languages, event types, and market segments
