Booking Status Change Report

Track booking status changes across your sales pipeline, including lost reasons, referral sources, rooms, and revenue metrics. Filter, group, export, and monitor booking movement and conversion trends over time.

Overview

The Booking Status Change report provides insight into how bookings are progressing through your sales pipeline within your organization or on chain level. It shows when a booking’s status has changed and what the new status is, helping you track sales activity and measure performance over time.


Why Use This Report

Use this report to:

  • Monitor recent booking status changes

  • Identify movement within your sales pipeline

  • Track trends and lost opportunities

  • Review referral sources and lost booking details

  • Analyze current rooms and revenue values associated with bookings


How to Access the Report

  1. Navigate to Reports from the main menu.

  2. Select Booking Status Change from the list.

  3. Use the filters at the top of the page to define your view.


Filtering and Grouping

You can refine your report to focus on specific information:

  • Status Change Date – Choose a custom or preset date range

  • Group By – Organize the report by fields such as Assignee or Status Changed To

  • Add Filter – Narrow the results by additional criteria such as status, property, or account


Columns Included

Each line of the report provides booking and status change details.

Description

Booking

Displays the booking name and number (clickable to open the record)

Status Changed To

Shows the new status assigned to the booking

Booking Start Date

Indicates the start date of the event or stay

Booking End Date

Indicates the end date of the event or stay

Booking Type

Specifies the category of the booking

Market Segment

Identifies the assigned market segment

Assignee

Lists the team member responsible for the booking

Lost Reason

Displays the selected lost reason associated with the booking

Lost Comment

Displays any lost booking comments entered on the booking

Referral Source

Displays the booking’s referral source

Catering Revenue

Displays the current catering revenue value

Catering Revenue - taxes included

Displays the current catering revenue value including taxes

Contracted Rooms

Displays the current contracted room count

Blocked Rooms

Displays the current blocked room count

Net Rooms

Displays the current net room count

Contracted Guestroom Revenue

Displays the current contracted guestroom revenue

Net Guestroom Revenue

Displays the current net guestroom revenue

Blocked Guestroom Revenue

Displays the current blocked guestroom revenue

⚠️ Important: Room and revenue columns reflect the booking’s current values, not the historical values as of the selected status change date. A note will appear within the report when these columns are added.


Exporting Data

Click the Export button in the top-right corner to download your report in CSV, HTML, or PDF format. This allows you to store records or share data with other departments for analysis.


Best Practices

  • Review the report regularly to monitor booking movement and overall sales performance

  • Filter by team member to review activity and manage workload

  • Export and compare data monthly to evaluate conversion rates and trends

  • Use lost reasons and referral source data to identify sales patterns and marketing performance
