The Global Accounts and Contacts feature (GAC) enables all Accounts & Contacts to be shared across all Organizations within the Chain.
This means that EVERY USER in ANY ORGANIZATION of a Chain can see, edit, and associate data with any Account/Contact in ANY ORGANIZATION of the Chain regardless of whether the User has access to the Organization the Account/Contact was created in.
For example:
The user Katie is assigned access to the Pillowmint Hotel
The user Joanne is assigned access to the Koality Hotel
Katie adds an Account or Contact to Pillowmint Hotel, Joanne can view, edit & delete it. Joanne can also use the Account or Contact to associate it to her own Bookings, Tasks, etc.
IMPORTANT! Once Global Accounts is turned on, it cannot be reversed. Please ensure you consider this in your decision process. If you are unsure please reach out to our friendly Customer Support Team to talk this through.
When Should You Enable It?
By default, this option is NOT enabled for new chains. You should enable this setting if at least one of the following is true:
You want one shared set of Contacts and Accounts for your whole chain
You want to connect to a PMS that enforces global accounts/contacts (Mews, SNT)
How To Turn Global Account On
Due to the irreversible nature of Global Accounts, it needs to be turned on by the Event Temple team. A Chain Admin should reach out to the ET team if they would like the feature turned on across the Chain.
Please note: You cannot turn on this feature for part of the Chain. It is a Chain wide setting and will share Contact/Account across all the Organizations in your Chain.
Disabling an Organization with Global Accounts Enabled
When an organization cancels a property within a chain, no accounts or contacts need to be reassigned. They will remain associated with the original property name. Reassignment is optional and can be done at any time if needed, but it is not required for data integrity or visibility.
Mews PMS and Global Accounts
Global Accounts must be enabled for chains with multiple properties that belong to the same confirmed Mews chain and need to share Contacts and Accounts across properties.
Requirements and limitations:
All properties must belong to the same Mews chain in order to enable Global Accounts.
Global Accounts cannot be enabled if any properties belong to different Mews chains.
Once Global Accounts is enabled:
Every additional Mews property must belong to the same Mews chain.
Global Accounts cannot be turned off afterward.
