Is There A Report That Can Show Tax Breakdown by Event Date?

If you need to see how much tax was charged for events during a specific time period, you can use the Events Report. This report allows you to view event-level details including Taxable Subtotal, GST Tax, and other revenue data by Event Date.

Step 1: Go to the Events Report

  1. From the left-hand sidebar, click Reports.

  2. Select Events.

  3. You’ll see a list of all events for your property or organization.


Step 2: Add Filters

To focus your report on the correct date range:

  1. Click Add Filter at the top of the page.

  2. Select Date.

  3. Choose the date range you’d like to analyze (for example, This Month, Next Month, or Custom Range).

  4. (Optional) Add additional filters such as:

    • Event Type – to focus on specific types (e.g., Meetings, Dinners).

    • Status – to include only Definite or Completed events.

    • Space – to review tax breakdowns by room or area.


Step 3: Customize Columns

To view your tax values directly in the report:

  1. Click the Columns (🗂️) button in the top-right corner.

  2. Under Selected Columns, ensure the following fields are visible:

    • Event Type

    • Date

    • Status

    • Taxable Subtotal

    • GST Tax (or your applicable tax name)

    • (Optional) Expected and Guaranteed guest counts for context

  3. To reorder columns:

    • Hover over the column name.

    • Click and drag using the six-dot icon (⋮⋮) beside it.

    • Drop it into your preferred order and click Apply.


Step 4: Sort by Event Date

  1. Click the Date column header to sort events chronologically.

  2. This helps you see total taxable amounts and taxes by day or week.


Step 5: Export the Report

To calculate or summarize totals:

  1. Click the Export (📤) button in the top-right corner.

  2. Choose CSV.

  3. Open the file in Excel or Google Sheets.

  4. Use the SUM function to total the values in the GST Tax and Taxable Subtotal columns.

💡 Example:
If you export all events from October 1–31, 2025, summing the GST Tax column will show the total tax charged for all events held during that period.


Step 6: (Optional) Save as a Custom View

  1. Click Save View (💾) at the top of the page.

  2. Choose Save as New.

  3. Name it something descriptive, like “Tax Breakdown by Event Date”.

  4. Choose whether to make it Private or Shared.

You can then access this view anytime from the View dropdown.


Example Use Cases

  • Accounting Teams: Reconcile event tax totals by month or quarter.

  • Finance Managers: Verify tax amounts applied across event types.

  • Operations: Review taxable revenue per event for compliance or reporting purposes.


Tip:
If your organization charges multiple tax types (e.g., GST + PST or VAT), add all relevant tax columns under Customize Columns to view and export each breakdown separately.
