What are Tasks and how to manage them

In Event Temple, a Task is any activity or “to-do” that you have with a customer. These are commonly referred to as "Traces" in Hotels.

Common examples:

  • Sales Tasks: emails, cold calls, follow-up calls, meetings, etc.

  • Operational activities: a reminder to create a BEO, set up chairs, or create a Group Resume.

If you are in an operations role, we recommend that when working on your Tasks, you go to your Dashboard each morning to see what you have to do today and complete any overdue tasks first. If you are in Sales we recommend starting with the Task Calendar and following your scheduled plan for the day.

Locate Tasks by clicking Tasks on the left-hand sidebar. In this section, the Task List, you can see all of your past, present, and future tasks related to an Account, Contact, or Booking. As with any table view in Event Temple, you can apply filters, customize columns and export the view as a report.

Recurring Tasks are not currently available, however it is possible to apply Workflows to selected Bookings.


Types of Tasks

Booking Tasks

Tasks that apply to Groups and Events. These are normally operational tasks that you need to do for that specific Booking.

To access Booking Tasks:

  1. Click on a Booking from the pipeline or list view

  2. Click on the Tasks Sub-Tab

Account and Contact Tasks

Activities that you want to apply to that specific Contact or Account. They are normally used for sales activity tracking.

To access Account and Contact Tasks:

  1. Find the Account or Contact you want and click on it to open it

  2. Click on the Tasks Sub-Tab


Add a Task

Like many things in Event Temple, you can add a Task in multiple ways.

Add a Task from the Task List

  1. Click on Tasks in the left-hand sidebar

  2. Click New Task

  3. Enter the Task Name, Task Type, and any other information available

  4. Link the Task to a Booking, Contact, or Account

  5. Set a Reminder

  6. Click Save

Adding a Task to a Booking

  1. Access the Booking you wish to add a Task to

  2. Click on the Task subtab

  3. Click on the New Task button

  4. Fill out the appropriate fields

  5. When complete, click Save

The same process applies if adding a Task from the Contact or Account's Task Sub Tab.

Adding a Task from the List or Pipeline View

  1. Click on the drop-down arrow at the end of the Booking's name

  2. Click New Task

  3. Fill out the appropriate fields

  4. When complete, click Save


Edit a Task

  1. Click on Tasks in the left-hand sidebar

  2. Search for the Task

  3. Click on the edit pencil icon on the right-hand side

  4. Make the necessary changes

  5. Click Save

The same process applies if editing a Task from the Contact, Account, or Booking's Task Sub Tab.


Delete a Task

Deleting a Task is a permanent action & cannot be undone.

From The Task Page

  1. Click on the Trash button on the right-hand side

  2. Select Delete

  3. Confirm you want to delete the Task

The same process applies if deleting a Task from the Contact, Account, or Booking's Task Sub Tab.


Complete a Task

You can check a Task as complete from:

  • Your Dashboard

  • Task List

  • An Account

  • A Contact

  • A Booking

Once the Task has been marked as complete the Task will be crossed out:


  • Bookings List or Pipeline View

Important Considerations

If you are part of a Chain, you can see all your tasks across all Chains by toggling to the Chain Dashboard from the dropdown in the top right. You can also add a column into the view to see which Organisation the Tasks belong to. For more information on Chain Dashboard please click the link below.
