Merge Bookings

Merging bookings allows you to combine duplicate or related bookings into one, ensuring your data remains accurate and organized.

When two bookings are merged, all associated information — such as contacts, events, documents, and invoices — will be consolidated under the primary booking you select.

When to Use Booking Merge

Use the Merge Bookings feature when:

  • Two or more bookings were created for the same client or event.

  • You want to combine details from a duplicate inquiry with an active confirmed booking.

  • You need to consolidate records to avoid confusion in reporting or calendar views.


How to Merge Bookings

  1. Go to the Bookings page from your left-hand navigation.

  2. Locate the bookings you want to merge.

  3. Select the checkbox beside each booking record you want to merge.

  4. Click the Actions button at the top of the list.

  5. Choose Merge Bookings from the dropdown menu.

  6. A dialog will appear asking you to confirm which booking should remain as the Primary Booking.

    • The Primary Booking keeps its reference number and key details (such as pipeline status and dates).

    • The secondary booking(s) will be merged into it.

  7. Review the merge details carefully, then click Confirm Merge.


What Happens After a Merge

After completing the merge:

  • All contacts, events, tasks, notes, and documents from the merged bookings are transferred to the primary booking.

  • The secondary bookings are archived and no longer appear in your active list.

  • The booking pipeline stage and status follow the primary booking’s current stage.


Important Notes

  • Merges cannot be undone, so confirm your selection carefully before proceeding.

  • Only users with appropriate permissions (typically Admin or Manager roles) can perform merges.

  • The merged booking will retain the primary booking ID for reference and reporting.
