How Do I Add Notes to Invoices?

Learn how to add notes to individual invoices, display payment notes, and set permanent Invoice Terms in Event Temple. Use invoice notes to provide payment instructions, add context for clients, or include important information that appears on invoices.

There are three ways to add notes to invoices:

  • Add a note to a single invoice

  • Add permanent notes to all invoices using Invoice Terms

  • Display notes from the Payments tab directly on invoices


Add a Note to a Single Invoice

You can add notes to individual invoices either when creating a new invoice or by editing an existing invoice.

Option 1: Add a Note When Creating an Invoice

  1. Open the Booking and go to the Invoices tab.

  2. Click + New Invoice.

  3. Fill in the invoice details.

  4. Enter your message in the Notes field.

  5. Click Create.

Option 2: Add or Update a Note on an Existing Invoice

  1. Open the invoice.

  2. Scroll to the Notes section.

  3. Click the Edit (✏️) icon.

  4. Add or update your note.

  5. Click outside the field or press Enter to save.

Tip: Notes added here appear on the client-facing invoice, making them useful for payment instructions, reminders, or additional context.


Add a Permanent Note to All Invoices

If you want the same message to appear on every invoice, you can add it through Invoice Terms.

  1. Go to Settings → Organization → Invoice Settings.

  2. Add your message under Invoice Terms.

  3. Click Save.

These notes will automatically appear on future invoices.

Tip: You can also use subheadings in your invoice template to organize information like payment instructions, policies, or terms and conditions.


Add Payment Notes to Invoices

Payment Notes can be added to individual payments and displayed directly on invoices.

To add Payment Notes:

  1. Open the Booking and go to the Payments tab.

  2. Add a note to the relevant payment.

  3. Attach the payment to the invoice.

  4. Ensure Payments Record Table is enabled under Column Visibility so the notes appear on the invoice.

This allows Payment Notes to flow directly onto invoices without needing to manually copy the information into the invoice notes section.

Tip: Payments and Payment Notes can be updated or deleted directly from the invoice for quick adjustments.
