An optional step to sync all upcoming Bookings to your chosen third party calendar

Event Temple offers one-way sync with 5 commonly used calendars:
iCloud, Google, Office 365, Exchange, and Outlook.

Users can link Event Temple to their personal Calendar and once linked, any existing & new Bookings within Event Temple that are arriving in the future will be sent over to the selected third party calendar for reference.

Linking a third party Calendar is also great option for organizations where not all team members have access to Event Temple.

Linking to a shared third party calendar, rather than an individuals calendar will allow anyone with access to the shared third party calendar to see the linked Bookings without the need to log into Event Temple.

How to Link a Calendar

There are two steps involved to complete to successfully link to your calendar.

First, you will need to set up a connection to your Calendar to sync. Second, you will need to set up your linking filters to tell Event Temple what you want to see in your personal Calendar.

Step One - Set up a connection to your Calendar

  1. Click on Calendars on the left-hand side of Event Temple

  2. Select Calendar from the drop-down

  3. Click the Linked Calendars button at the top left of the Calendar page (if this button is green, skip this and jump to section two)

  4. Click Link Calendar

  5. Follow the prompts in the Wizard to correspond with your particular provider (Google, Outlook, iCloud, etc)

Step Two - Link your Calendar

From within the Linked Calendars page

  1. Click the green Link Calendar button

  2. Select your Calendar from the dropdown

  3. Set your parameter's for your sync (see below chapter for details)

  4. Click the blue Link button


Disconnect your Calendar

  1. Click on Calendars on the left-hand side of Event Temple

  2. Select Calendar from the drop-down

  3. Click the Linked Calendars button at the top-left of the Calendar page

  4. Click Revoke Access

  5. Click OK

Calendar: This allows you to select your external calendar. If you have multiple external calendars you'll be able to choose which one to sync.
โ€‹Note: you can only have 1 external calendar synced with 1 Event Temple user account.

Link With: Currently Bookings is the only option we offer. However future updates are aimed to expand this.

Filters: This allows you to decide which status will be pushed to your external calendar (ie; only Definite Bookings are seen on the external calendar)

Included Fields: Here you'll choose which, if any, fields you want to be pushed with the booking to your external calendar.


What Causes a Booking to Resync

If any of the below are updated, a Booking will be resynced to your personal Calendar.

  • Booking Name change

  • Booking Start Date change

  • Booking End Date change

  • Pipeline Stage change

  • Booking Status change

  • A Recurring Booking and its recurrence is changed

And If an Event attached to the Booking is

  • Cloned

  • Created

  • Updated - this includes changes to various fields and Menu Items


Important Considerations About Linking Your Calendar

Existing & newly created Bookings with a future arrival date are synced to your calendar. Bookings that have a past arrival date do not sync.

Bookings (not Events) are synced to your personal calendar. However, in Event Temple your Calendar has the option of choosing whether you wish to see additional information such as Events, Groups or Contact details.

Items added or changed in your personal calendar (Office 365, Google, Outlook, etc) will not be reflected in Event Temple - but changes made in Event Temple will push over to your personal calendar. Please maintain that consideration when using the integration. If you find that some Bookings are not syncing as expected, you may need to disconnect & re-connect your calendar

Once a calendar has been linked, it can always be unlinked at a later stage if you would like to update any of the initial parameters set.

Each user can set up their own personal calendar to be linked with Event Temple. If there is a shared third-party Calendar, it should only be linked to Event Temple once. Linking multiple Event Temple accounts with one shared third-party Calendar will result in duplicate entries in your shared Calendar.

If you are a user in a Chain, you cannot link the same Calendar to multiple Organizations. The Calendar Sync feature is currently User based so Users can only sync one external Calendar which means you can only show the Bookings for one Organization. We suggest creating a shared external calendar so that multiple Event Temple users can each sync a calendar per Organization.

Event Temple uses a third-party program called Cronofy to link the calendars. Rest assured that we do our utmost due diligence before employing any third-party applications. Of course, if you feel the need, make sure you do any research you may feel is necessary before accepting their terms of service.
