As 2025 winds down, it’s time to prepare your Event Temple account for a smooth transition into 2026.
This session covers every area that should be reviewed, updated, or cleaned up before the new year.
1. Review & Archive Existing Bookings
Audit bookings extending into 2026.
Verify that pricing, taxes, and statuses are correct for each event.
Archive completed 2025 bookings to keep your pipeline clean.
Tip: Use date filters on the Bookings page to quickly identify older bookings that can be archived.
2. Update Organization Settings
Confirm your organization details, including logo, website, and phone number.
Deactivate inactive users to prevent unnecessary access.
Review your subscription and payment method to avoid interruptions.
Check your taxes, service fees, and currency for accuracy.
Clean up your pipeline stages and remove outdated categories.
Add new tax or fee types for 2026 instead of overwriting existing ones.
3. Set Your 2026 Budget ✅
Before updating menus or packages, align your Event Temple setup with your financial goals:
Review your revenue targets for 2026 (e.g., room rental, catering, AV).
Use reports or exported data to compare 2025 results vs. your new goals.
Update payment schedules and deposit structures with your team if timelines or percentages are changing.
If you’re managing multiple properties, communicate new targets with your teams to ensure consistency across all departments.
4. Audit Revenue Categories
Ensure that each revenue group (Food & Beverage, AV, Room Rental, etc.) is still valid.
Assign a default room rental category for accurate document merge fields.
Deactivate any old or unused categories to keep reporting clear.
5. Update Menus & Pricing
Create new 2026 menus instead of editing existing 2025 ones.
Adjust prices, service fees, and taxes in bulk using Batch Actions → Change Taxes.
Organize menus by subcategories (Breakfast, Lunch, Dinner) for easier quoting.
Audit menu item names, descriptions, and linked revenue categories.
6. Refresh Packages & Event Templates
Clone existing 2025 packages and rename them for 2026.
Update linked menu items, descriptions, and pricing.
Review event templates for correct start times, menus, and tax inclusions.
Always update revenue and tax settings before packages and templates to ensure correct links.
7. Verify Custom Fields & Merge Fields
Audit custom fields under Contacts, Accounts, Bookings, Events, and Room Blocks.
Remove outdated options or update picklists (e.g., billing methods, parking rates).
Clean up old merge fields in your document templates to avoid clutter.
8. Refresh Documents, Contracts & Proposals
Clone your main templates and rename them for 2026.

Concession lists
Commission percentages
Parking
Confirm cut-off dates and attrition policies in your group contracts are aligned with 2026 standards.
Test your templates using real booking data to ensure all merge fields populate correctly.
For chains, set document permissions to Chain so templates are shared across properties.
9. Update Photos, Branding & Files
Upload new property images or logos to keep your proposals current.
Remove outdated or irrelevant files from the Files section.
10. Calendar, Availability & Space Closures
Verify rates and blackout dates in your PMS integrations.

Deactivate forms you no longer use.
